We are seeking a highly organised, energised and well
- presented **Administration Assistant** to join our team based at the Bethanie Gwelup Lifestyle Village complex. The role offers diversity and lots of challenges and therefore we are looking for a “go getter” with a passion for customer service and a “can do” attitude. You will have highly tuned administration skills along with a genuine interest in the aged care industry.
This role is **permanent part time**, offering 3 days per week, 15 hours per week. The role is extremely diverse which comes with different challenges and opportunities. You will be responsible for covering Annual Leave for the Village Manager and will be required to be available to do so. We are looking for a “go getter” with a passion for customer service and a “can do” attitude. You will have highly tuned administration skills along with a genuine interest in the aged care industry.
The role involves providing support to the Village Manager and being a contact point for our residents at our Lifestyle Villages.
**Key Responsibilities**:
- Provide general reception duties, and provide a high-level of customer service to visitors, residents, contractors and employees;
- Assist the team with information gathering, correspondence and general administration;
- Raise all purchase order requisitions in Dynamix AX and liaise with suppliers;
- Processing end of month data for resident’s telephone & electricity billing;
- Collating & distributing end of month billing
- Assist in arranging sub-contractors on site for works
- Petty Cash / Newspaper monies/ Ordering Stationery / Catering supplies
- Once a month manually read all Electricity & Solar Meters
- Co-ordinating Resident Weekly Calendar & Distribution
- Arranging catering for functions, morning tea, seminars
- Co-ordinate with Resident Committee on various items
- Maintaining resident leave of absence / visitors’ log
- OSH Representative at required campus meetings
- Liaise between residents & contractors re appointments for works
- Assist residents with co-ordinating Bethanie Community services into the home
- Liaise with other Bethanie departments where required
- Maintain Staff Annual Leave Planner, ensuring it is accurate and up to date
**Requirements**:
- Willingness to uphold the Mission, Vision and Values of The Bethanie Group Inc.
- Demonstrated experience within a busy administrative position with specific experience working in an accounting system such as Dynamix _desirable_
- High level of attention to detail, with ability to learn new processes and software quickly
- Strong verbal and written communication skills, including presentation and report writing skills
- Ability to work autonomously, as well as part of a team
- Ability to prioritise workload and work multiple tasks at once
- Computer skills - Outlook, Word, Excel, Apple tablets _desirable_
