**People & Business Services **is a Group within the Department of Transport and Planning and is responsible for providing business-enabling people and corporate services functions to drive a high-performance culture and to support integrated operations.

The Governance and Portfolio Services Division is responsible for delivering high-quality services and advice that supports and empowers the transport and planning portfolio to make good decisions, and to provide confidence that risk management, behaviour, performance, and service delivery is continuously improving.

**About the Role**

The Governance and Corporate Secretariat team operates in a dynamic and fast-paced environment, providing governance and secretariat services to the department and its senior decision-making committees. The Governance Support Officer plays an important role in ensuring these committees operate smoothly and efficiently. The role involves working collaboratively with all members of the Governance and Portfolio Services Division, as well as senior leaders and their support teams to ensure there is strong preparation for and management of governance committee meetings.

The Governance Support Officer plays a key customer service role and requires confidence, discretion and professionalism in liaising with senior departmental stakeholders. The role also involves the maintenance of the Governance and Corporate Secretariat’s intranet site and content, to enable ease of access to useful resources by department colleagues.

The Governance Support Officer provides broad administrative support to the immediate team, including responding to questions and requests for advice, management of shared filing systems and the diligent maintenance of governance committee records. Skills required of the Governance Support Officer include the ability to work flexibly and responsively, and to effectively plan and manage their workload to meet strict deadlines.

**Your outcomes and accountabilties,**
- Provide support to Committee Advisers in scheduling of governance committee meetings and managing invitations to committee members and attendees, including keeping track of attendee apologies and delegates.
- Provide support to Committee Advisers in the coordination of committee meeting papers, including editing, formatting, consolidation and distribution.
- Provide logístical support for all governance committee meetings, including attendee management, presentation of slides and note-taking where required.
- Update and maintain Governance and Corporate Secretariat resources, including templates, shared calendars of events and executive leave, guidelines and fact sheets.
- Monitor and maintain the Governance and Corporate Secretariat team’s intranet site and content.
- Establish and maintain professional relationships with key department stakeholders.
- Provide support across the Governance and Portfolio Services Division as required.
