An exciting opportunity has arisen for an Executive Assistant to join ServiceStream in our Collins Street office.
About the Role
ServiceStream’s People and Culture division are currently seeking an Executive Assistant to the Chief People Officer (CPO) to join our growing company. The primary role of an executive assistant to the CPO in human resources is to provide comprehensive administrative and organizational support to ensure the efficient functioning of the CPO's office, while also assisting in the effective execution of the CPO's responsibilities pertaining to human resources management

Reporting Line: Chief People Officer
Key Responsibilities
Key responsibilities of this role include maintaining and managing employee records, providing support for HR-related projects as needed, and collaborating closely with the Chief People Officer and other senior leaders to help shape the direction of the organization's HR strategy and policies
- Calendar and schedule management: Managing the CPO's calendar, scheduling meetings, coordinating appointments, catering, and making travel arrangements.
- Information management: Collecting, organizing, and maintaining confidential and sensitive information, such as employee records, HR policies and procedures, and other HR-related documents.
- Meeting coordination: Coordinating and preparing for meetings, including agenda creation, meeting materials, and minutes.
- Project support: Assisting the CPO with various HR-related projects, initiatives, and presentations.
- Office management: Overseeing the day-to-day operations of the office, including managing office supplies, coordinating office events, and handling administrative tasks.
- Liaison and coordination: Serving as a liaison between the CPO and other departments, executives, employees, and external stakeholders, and coordinating HR-related activities and initiatives.
- Confidentiality and discretion: Maintaining strict confidentiality and exercising discretion in handling sensitive HR-related information and matters.
About You
- Qualification in Human Resources (desirable) or minimum 5 years' experience in a similar role.
- A degree in Human Resources, Business, Administration, or relevant field (preferred).
- Previous secretarial and HR administrative experience.
- Providing support at a senior level within an ASX listed organization (desirable).
- Relevant experience in a Human Resource position.
- Advanced knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Typing speed of minimum 70 words per minute.
- Acute researching skills.
- Excellent time management and organizational skills.
- High attention to detail.
- Exceptional communication skills, both written and verbal.
- Excellent interpersonal and relationship-building skills.
- Ability to prioritize workloads, multitask, and maintain confidentiality.
- Effective HR administration and people management skills.
- Fantastic organizational, attention to detail, and time management skills.
