**Purpose of the Role**
To oversee the day-to-day operations of the College office and ensure that administrative tasks are completed efficiently and effectively. This role involves managing the staff in the front office, maintaining accurate records and communicating effectively and respectfully with parents, students, staff members and other guests. The Administrative Services ensures that the College office runs smoothly and efficiently and smoothly, and all necessary tasks are completed. Confidentiality is of the utmost importance in this role. This role will be managing the registrar, enrolment and IT department.
**DUTIES & RESPONSIBILITIES**
- Oversee and manage the day-to-day operations of the College including, record keeping and communications.
- Supervise and coordinate the work of office staff.
- Manage the registration and enrolment process in a fair and equitable manner.
- Manage the registration and enrolment process for students, including maintaining accurate student records and ensuring compliance with state and federal regulations and requirements.
- Respond to inquiries from parents, staff and other stakeholders in a timely and professional manner.
- Coordinate communication with parents and community members.
- Collaborate with the College’s leadership team to develop and implement policies and procedures that support the College’s mission and goals.
- Ensure that the College is meeting all state and federal regulations including but not limited to VRQA audits, census, OHS etc.
- Oversee and coordinate the delivery of administrative and support services by the office staff to ensure the business needs of the College are met.
- Monitor and address complex / sensitive enquiries and issues, including those that are escalated to ensure their timely and effective resolution.
- Coordinate and manage records and databases, complying with administrative systems, processes and policies to ensure that all information is accurate, stored correctly and accessible.
- Develop, implement and review office systems, procedures and methods. Once approved, adapt processes and resources as required to facilitate efficient team operations in line with policies and procedures.
- Manage and coordinate office staff induction and work proactively with Vice Principal to identify office staff requiring performance.
- Oversee the registration and enrolment process for students, including collecting and processing enrolment forms, maintaining accurate student records and communicating with parents and guardians.
- Manage the day to day running of the IT department and the IT staff.
- Develop and IT strategic plan in consultation with the team.
- Attend to specific enquiries from parents, visitors and students.
- Supervise the preparation and issue of general College information documents, including book and stationary lists, Open Days and other special functions as required.
- Ensure the integrity of data and operation of the College family / student management system e.g., Synergetic.
**Salary**: $51,878.09 - $102,549.36 per year
Schedule:
- 8 hour shift

- Western Melbourne, VIC: Reliably commute or planning to relocate before starting work (required)
