With over 50 venues across 8 brands in Australia, Aotearoa (New Zealand) and North America, our growing team is on the lookout for a passionate, professional and fun Executive Assistant for our Support Office in Abbotsford, VIC.
This is a 12 month maternity leave cover contract.

What You'll Do
- Calendar management; Effectively manage and coordinate calendars for executive leaders, scheduling meetings, appointments and travel arrangement
- Meeting coordination and support; Prepare meetings agendas, materials and presentations. Take minutes, distribute and follow up on action items. Manage seamless logistics for in-person and virtual meetings
- Travel arrangements; Coordinate all aspects of executive travel, anticipating travel needs and preferences and proactively managing changes or potential issues
- Communication; Be the primary contact for internal and external communications on behalf of the executive team
- Information management; Organise and maintain records as required. Ensure confidentiality and security of sensitive information
- Project support; Conduct research, compile data and prepare reports for special projects and initiatives as assigned by the Executive team
- Relationship management; Serve as a liaison between the executive team, leadership team and various other stakeholders
- Administrative support; Manage expense reconciliations and provide general administrative support

What You've Got
- Proven experience in an executive assistant or similar role; preferably supporting C-level executives
- Exceptional organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Strong communication skills with a high level of professionalism and discretion
- Proficient in Microsoft Office Suite. Experience or exposure to AI meeting minute-taking software is considered advantageous but not essential
- Ability to anticipate needs and demonstrate initiative, with a proactive approach to problem-solving
- Excellent attention to detail and accuracy
- Discretion and integrity
- Flexibility and adaptability to changing priorities and responsibilities
- Proactive, ability to work autonomously, with a sense of urgency and a positive can-do attitude
- Well organised planner who works well under timeline pressures
- Proven ability to build and manage relationships with different stakeholders
- A burning desire to show what you've got and what heights you can take the business
