This is a 12 month maternity leave cover contract.

What You'll Do

  • Calendar management; Effectively manage and coordinate calendars for executive leaders, scheduling meetings, appointments and travel arrangement
  • Meeting coordination and support; Prepare meetings agendas, materials and presentations. Take minutes, distribute and follow up on action items. Manage seamless logistics for in-person and virtual meetings
  • Travel arrangements; Coordinate all aspects of executive travel, anticipating travel needs and preferences and proactively managing changes or potential issues
  • Communication; Be the primary contact for internal and external communications on behalf of the executive team
  • Information management; Organise and maintain records as required. Ensure confidentiality and security of sensitive information
  • Project support; Conduct research, compile data and prepare reports for special projects and initiatives as assigned by the Executive team
  • Relationship management; Serve as a liaison between the executive team, leadership team and various other stakeholders
  • Administrative support; Manage expense reconciliations and provide general administrative support

What You've Got

  • Proven experience in an executive assistant or similar role; preferably supporting C-level executives
  • Exceptional organisational and time management skills, with the ability to prioritise tasks and meet deadlines
  • Strong communication skills with a high level of professionalism and discretion
  • Proficient in Microsoft Office Suite. Experience or exposure to AI meeting minute-taking software is considered advantageous but not essential
  • Ability to anticipate needs and demonstrate initiative, with a proactive approach to problem-solving
  • Excellent attention to detail and accuracy
  • Discretion and integrity
  • Flexibility and adaptability to changing priorities and responsibilities
  • Proactive, ability to work autonomously, with a sense of urgency and a positive can-do attitude
  • Well organised planner who works well under timeline pressures
  • Proven ability to build and manage relationships with different stakeholders
  • A burning desire to show what you've got and what heights you can take the business
