This Administration Officer role resides within the Administration Section at the NMI Port Melbourne. The Administration Section is part of the Analytical Services Branch (ASB). The ASB provide analytical solutions and technical expertise for a large set of private sector and government clients across the environmental, food and health sectors, enabling them to meet their business, research and regulatory compliance needs. The Administration Section delivers a wide range of administration functions to support the ASB activities.

**The opportunity**:

As well as performing the key functions of this role, this position will provide opportunities to train in other administration duties. You will work alongside staff dedicated to measurement science.
- Demonstrated experience in an administration function ideally with accounts receivable including issuing client invoices, understanding of client enquiries, follow up on outstanding accounts and generating debtor documents such as statements in a finance system.
- Demonstrated ability to communicate both orally and in writing, liaise and develop positive inter-personal relationships with clients and colleagues.
- Proven skills to use computer-based business or accounting systems. This includes experience with Financial Systems and Microsoft products.
- Planning work goals and setting priorities within area of responsibility including the capacity to organise own work and meet own and team outcomes.
- Demonstrated ability to consistently exhibit the NMI values of being adaptable, accountable, innovate, inclusive, influential and strategic. This includes building and sustaining positive relationships with team members and other teams, fostering a diverse and inclusive workplace, leading by example and showing integrity by being honest, transparent and accountable.

**What you will do**:
The Administration Officer requires demonstrated experience in an administration role ideally in an accounts receivable function and have an understanding of a client invoicing system. The role will work closely with the Laboratory Services Team, Client Services and Business Development and the laboratory operations staff and managers.

Key tasks include:

- Client invoicing, maintain COD register, liaising with clients on general accounts receivable matters such as reissuing of invoices, supplying statements and under direction following up on overdue accounts.
- Assist in the reception function including communicating with Clients, Section Managers, Customer Service and Laboratory Services and directing caller to the appropriate area, as required.
- Provide general administrative support and participate in short term projects to assist the administration and laboratory functions. This includes providing back up support to the other Administration Officers in the team in functions such as accounts payable, purchasing and stock control.
