**Job Overview**:
Attend the Reception desk and operate the phone system, undertake meet & greet activities.
**Key Tasks and Responsibilities**:
- Answer incoming telephone calls, determine purpose of callers and forward calls to appropriate personnel or department
- Take and deliver messages when appropriate personnel are unavailable.
- Meet and greet all visitors to the project office
- Receive, sort and route postal mail in/out of office
- Receive, sort and route International, Domestic & Intrastate courier consignments in/out of office
- Liaising with corporate office regarding mail and other deliveries
- Maintain printing/photocopy machines and assist users
- Book, manage and maintain meeting room & teleconference bookings
- Manage building maintenance issues and liaise with building management to resolve issues
- Work closely with Procurement for office orders (stationery, furniture, AV items, kitchen goods, etc)
- Maintain cleanliness of meeting rooms and set up daily beverage requirements
- Ordering and maintenance of general office stock including business cards, name plates etc
- Liaising with the client administration team in regards to visitors, office supplies, couriers and any maintenance requests
- Maintain kitchens and kitchen supplies
- Send daily “Out of Office Notifications” and updating the location register according
- Ordering catering and arranging delivery to appropriate meeting room
- Create Material Requests (MRs), Service Requests (SRs) and Goods Received Notes (GRNs)
- Verification of invoices in Accounting System
- Updating contact lists, Employee Location Register and other registers as required
- Responsible for daily maintenance, supplies and services of coffee machines
- Filing
- Onboarding of new starters, arrange name tag, update Location register, faces document, phonelist and new user log-in instructions
- Ad hoc duties for the office as required
**Essential Qualifications and Education**:
- Business Administration Certificate
- Reception or administration in similar sized office (150 staff) or workplace
- Demonstrated telephone skills/manners
- Courteous and respectful front desk manner
- Basic experience with all Microsoft programs Sound understanding or work practices and procedures
