The Administration Officer Level 3 in the Respiratory Department at John Hunter Hospital is a key contributor to the department's ability to deliver efficient, patient-centred care. This role ensures the smooth operation of administrative processes and provides vital support to both clinical staff and patients. The position offers dedicated administrative support to four Respiratory Physicians—managing over 1,700 outpatient appointments annually, coordinating clinics, handling patient requests, distributing correspondence, and managing complex diaries while maintaining direct, respectful communication with the physicians.

Responsibilities
  • Provide sufficient notice and clear communication to patients for ongoing reviews.
  • Maintain highly accurate and consistent data entry across all systems.
  • Prepare and distribute patient medication letters.
  • Manage complex and sensitive patient records with confidentiality and precision.
  • Offer administrative support to the wider multidisciplinary team (MDT).
  • Coordinate outreach clinics to improve access for patients in rural regions.
  • Attend MDT meetings, record detailed minutes, and distribute documentation efficiently.
  • Identify workflow barriers for clinicians and assist with ad-hoc tasks to maximise time for patient care.
What We Are Looking For
  • Experience in an administrative or office role; healthcare experience is a bonus.
  • Strong organisational skills; able to manage time, appointments and tasks effectively.
  • Clear and professional communication skills in person, over the phone, and in writing.
  • Attention to detail, especially when entering data or handling patient information.
  • Ability to work with confidential information and respect patient privacy.
  • Proficiency with computers, including email, Microsoft Word, Excel, and booking systems.
  • Experience managing calendars or booking appointments.
  • Ability to work independently and as part of a team.
  • Willingness to assist doctors and staff with extra tasks when needed.
  • Note-taking skills for meetings and the ability to send clear summaries.
