Job Description

Position Overview:

The Executive Assistant provides high-level administrative support to the executive management team. This role requires a proactive, detail-oriented individual with excellent communication and organizational skills. The Executive Assistant must handle confidential information with discretion and maintain a professional demeanor in all interactions.

Key Responsibilities:

Administrative Support:

  • Manage and maintain the executives calendar, including scheduling appointments, meetings, and travel arrangements.

  • Prepare and edit correspondence, communications, presentations, and other documents.

  • Conduct research, compile data, and prepare reports.

Meeting Coordination:

  • Organize and coordinate meetings, including preparing agendas, materials, and minutes.

  • Attend meetings and take detailed notes for follow-up.

Communication:

  • Screen and prioritize incoming calls, emails, and correspondence.

  • Draft and proofread correspondence and documents.

Project Management:

  • Assist in the planning and execution of special projects and initiatives.

  • Track progress and provide regular updates.

Travel Coordination:

  • Arrange complex and detailed travel plans, itineraries, and agendas, including important visitors such as our board of directors and multinational executives from our customers

  • Ensure all necessary travel documents and information are prepared and timely, prepare expense reports.

Confidentiality:

  • Handle sensitive information with the highest level of confidentiality.

  • Maintain discretion and confidentiality in all business matters.

Qualifications:

  • Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.

  • Experience: Minimum of 5 years of experience in an executive assistant or similar role, preferably supporting C-level executives.

  • Skills:

    • Exceptional organizational and time-management skills.

    • Excellent verbal and written communication abilities.

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

    • Writing and grammatical skills

    • Strong problem-solving skills and attention to detail.

    • Ability to work independently and as part of a team.

    • High level of professionalism and discretion.
