Overview

We are seeking a passionate, highly capable and results-driven Office Manager to join our dynamic team in Carnes Hill After Hours. You will be at the forefront of driving profitability and growth, guiding a team of Nurses and Medical Receptionists, and collaborating with the Doctors & Co. management team to supervise the clinic. Responsibilities
  • Leadership & Management: Lead multidisciplinary teams including doctors, nurses, and administrative staff; guide clinic operations.
  • Healthcare Compliance & Regulations: Knowledge of healthcare laws and accreditation requirements.
  • Team Leadership: Lead multidisciplinary teams, including doctors, nurses, and administrative staff.
  • Crisis & Emergency Management: Handle medical emergencies, staffing shortages, and operational disruptions effectively.
  • Operational & Organisational Skills: Ensure smooth patient flow, appointment scheduling, and high-quality patient care; streamline workflows to reduce wait times and improve efficiency; manage medical supplies, staffing, and facility maintenance.
  • Communication & Interpersonal Skills: Liaise between medical staff, patients, and external stakeholders; address disputes; manage patient concerns professionally; maintain cultural sensitivity and compassion.
  • Financial & Business Management: Budgeting, cost efficiency, revenue cycle management (billing, coding, reimbursement), and financial planning.
  • Vendor & Contract Negotiation: Procure medical equipment and services at competitive rates.
  • Monthly Targets & Budget Alignment: Ensure clinic operations align with monthly targets and budgets.
  • Health Promotion & Prevention: Support health promotion and prevention strategies aligned with group objectives.
  • Technical & Analytical Skills: Proficient with Healthcare IT & EMR systems, Medicare items and billing software; use data to drive decisions.
  • Quality & Risk Management: Implement protocols to reduce medical errors and enhance patient safety.
  • Adaptability & Problem-Solving: Respond to regulatory changes and healthcare policy updates; crisis management for emergencies, staffing, and facility issues; drive continuous improvement.


Qualifications
  • Exceptional leadership and motivational skills to inspire nurses and medical receptionists to deliver outstanding clinic performance.
  • Excellent analytical skills with the ability to interpret data to inform strategic decisions.
  • Minimum 2 years of Office Manager experience.
  • Prior experience in the medical and health field is highly preferred.
  • Collaborative, solution-oriented mindset with a focus on continuous improvement.
  • Excellent communication and negotiation skills with the ability to cultivate lasting relationships.
  • Advocate for safety, compassion and active listening in the workplace.
  • Experience with practice management software (e.g., Pracsoft, Medical Director, Best Practice).
  • Experience with serving diverse patient groups (e.g., adolescents, aged care, migrants, Aboriginal and Torres Strait Islander peoples) is advantageous.
  • CPR/Triage training.
  • Training or experience in emergencies management, handling complaints, Medicare & health funds, basic infection control, safe handling and disposal of medical waste, etc.
