About the Role

We're looking for a detail-oriented Senior Facilities and Admin Coordinator to ensure our head office runs safely, smoothly, and efficiently. Reporting to the Head of Service and Support, you'll oversee facilities operations, workplace compliance, and day-to-day administration.

From coordinating maintenance and vendor services to supporting office moves, events, and budgets, this role blends hands-on facilities management with administrative support. It's perfect for someone who enjoys variety, thrives on organisation, and takes pride in creating a safe and welcoming workplace.

What You'll Do

  • Coordinate day-to-day facilities services, liaising with landlords, contractors, and building management
  • Support planned and reactive maintenance, inspections, and compliance with WHS and fire-safety regulations
  • Assist with space planning, office moves, and workplace expansion projects
  • Provide vendor and contract administration, monitoring service levels and supporting negotiations
  • Contribute to risk management, emergency preparedness, and sustainability initiatives
  • Help deliver workplace events and services that enhance employee engagement and wellbeing
  • Provide administrative support across office services including supplies, mail, and courier management
  • Assist with budget tracking, expenditure reporting, and capital works planning

What You'll Bring

  • Solid knowledge of facilities and building management in a multi-level office environment
  • Experience managing maintenance, compliance, and essential services operations
  • Strong understanding of WHS and fire-safety compliance in Queensland
  • Excellent vendor and contract management skills, with attention to performance and value
  • Organisational strength to manage competing priorities and deadlines
  • Strong stakeholder engagement and communication skills
  • Competence in budget preparation, reporting, and cost control
  • Problem-solving mindset, with focus on risk management and continuous improvement
  • (Desirable) Experience with CMMS/helpdesk tools, workplace events, or administrative services
