About the role

We're looking for a sharp, motivated, and detail-oriented Finance & Operations Assistant to join our team at VG. This hybrid role will sit across both the finance and operations functions, acting as a central support to ensure accurate data entry, clean processes, and strong system governance -especially within our ERP system, Sage X3.

This is a great opportunity for someone who is computer savvy, curious, and eager to learn. You'll be the kind of person who enjoys figuring out how things work, thrives in a fast-paced environment, and takes pride in getting the detail right. You'll have a hand in everything from invoice processing to order fulfilment - and be a key part of keeping our backend running smoothly.

Key responsibilities

Finance:

• Process supplier and customer invoices with accuracy
• Reconciliation bank and credit card statements regularly
• Monitor and manage AP and AR email inboxes
• Support weekly payment runs and debt collection process
• Reconcile creditors and general ledger accounts
• Maintain accurate financial records and documentation
• Assist with ad hoc finance projects

Operations :

• Support day-to-day operational processes across inventory, fulfilment, and logistics
• Assist with customer order processing and coordinate with the warehouse for timely dispatch
• Maintain internal stock levels at head office and support inventory reconciliations
• Master Data and Transactional Data Maintenance: Monitor Sage X3 for accurate product, location, and receipt data
• Support supplier onboarding and data entry for sourcing, production, or freight
• Assist in maintaining operational calendars, tracking shipments, and logistics reporting
• Provide general administrative support across the operations function

Required knowledge and experience

• At least 1–2 years' experience in an assistant, admin, finance, logistics, or operations role
• Proficiency in Microsoft Excel, Outlook and data entry systems
• Familiarity with accounting or ERP software (Sage X3, Xero or similar) preferred
• Strong communication and organisational skills
• Experience in a fast-paced, detail-oriented environment
