This position describes the operational leadership for the AYO orchestral training and performance programs, ensuring all logistical, technical, and production elements are executed to the highest standard. The role provides on‑the‑ground leadership at AYO programs and oversees inventory of musical instruments and orchestral equipment.

Position Objective

Lead the operational delivery of AYO's programs, ensuring all logistical, technical, and production elements are executed to the highest standard. Support the Director of Programs in delivering innovative and professional music education and performance experiences.

Duties and Responsibilities
Program Design and Execution

• Support the Director of Programs in executing core orchestral programs, Momentum and other AYO projects.
• Lead on‑the‑ground delivery of programs, including staff leadership during rehearsals, performances, and residential activities.
• Manage program logistics including venue and production requirements, travel, accommodation and scheduling.

Program and Production Oversight

• Manage venue liaison for technical and production requirements, including staging, equipment, and audio/video recording.
• Act as venue hire liaison when required, ensuring operational needs are communicated and contracts are aligned with program delivery.
• Maintain oversight of and efficiently administer program costs related to production and logistics.
• Maintain and manage AYO's musical assets, including instruments and equipment, ensuring maintenance schedules and hire processes are followed.
• Oversee the transportation, hire, delivery and setup of instruments and equipment required for AYO programs.
• Manage freight and vehicle requirements for all programs.
• Serve as Stage Manager for AYO rehearsals and concerts, coordinating technical and logistical elements with internal and external teams.
• Ensure AYO programs are produced in compliance with WHS standards and contribute to rehearsal and performance risk assessments.
• Ensure First Aid protocols and supplies are in place and accessible during all program activities.

Stakeholder Engagement

• Liaise with venue technical teams and suppliers to ensure smooth delivery of production elements.
• Manage production and instrument requirements of guest artists, tutors and participants.
• Support relationships with alumni and artists through logistical coordination and program delivery.

Staff and People

• Provide leadership and supervision during program delivery, ensuring duty of care and professional standards are upheld.
• Manage program delivery staff including casual and volunteer team members, under delegated authority from the Director of Programs.
• Coordinate with internal teams including Marketing, Artistic, and Development during program delivery to ensure timely communication and alignment across departments.
• Contribute to policy development and operational planning as part of the Programs team.

Direct Reports

• Delegated authority of AYO Program staff whilst on program.
• Casual and volunteer program delivery staff
• Production contractors (as required)

SELECTION CRITERIA

• Significant experience in operations or production management within the performing arts, music, or event sectors.
• Experience in stage management or production oversight of live music performances.
• Ability to travel to metropolitan and regional locations, throughout Australia and overseas, and to work nights and weekends as required.
• Strong interpersonal and communication skills, with the ability to work collaboratively across teams, and problem solve under pressure.
• Proficiency in Microsoft packages, including Word, Excel, Outlook & Teams.
• Experience working with and updating a database.
• A genuine interest in music education, youth development, and performing arts.
• Commitment to fostering a safe, inclusive, and inspiring environment for young musicians.
• Understanding of the unique needs and dynamics of orchestral musicians.
• Knowledge of core orchestral repertoire and an ability to read orchestral scores.
• Previous experience working in an educational environment.
• Familiarity with Health & Safety Legislation.
• Experience with budgeting and inventory management.

• Willingness to complete and maintain First Aid and Mental Health First Aid competencies
