The Royal Australasian College of Surgeons (RACS) is the leading advocate for surgical standards, professionalism and surgical education in Australia and Aotearoa New Zealand. The College is a not-for-profit organisation that represents more than 8600 surgeons and 1300 surgical trainees and Specialist International Medical Graduates.
RACS also supports healthcare and surgical education in the Asia-Pacific region and is a substantial funder of surgical research. There are nine surgical specialties in Australasia being: Cardiothoracic Surgery, General Surgery, Neurosurgery, Orthopaedic Surgery, Otolaryngology Head and Neck Surgery, Paediatric Surgery, Plastic and Reconstructive Surgery, Urology and Vascular Surgery.
About the role
You will be responsible for providing administrative support to the Surgical Education and Training (SET) team. This role plays a key part in coordinating and delivering the operational requirements of the SET program, ensuring the smooth administration of Trainee selection, hospital accreditation, Trainee assessments, as well as ensuring that college records for all surgical specialties are maintained.
The role is part-time and will be split across two key areas:
1. Committee of Cardiothoracic Surgery – responsible for delivering the Surgical Training Program for Cardiothoracic Surgery in Australia and New Zealand.
2. SET administration - responsible for entering data and maintaining accurate college records for all specialty training committees/boards.
Key responsibilities include:
- Accurately entering and maintaining Trainee, Supervisors, hospital and assessment data in relevant databases and systems.
- Assisting the Cardiothoracic Surgery Executive Officer with tasks including responding to emails, coordinating hospital inspections, organising travel, catering and reimbursement forms, and assisting with other projects and tasks as needed.
- Liaising with key stakeholders, including committees/boards, Trainees, Supervisors and Hospital representatives.
- Drafting and sending professional communications, including emails and other formal correspondence.
Essential Skills and Experience:
- Demonstrated experience in an administrative role within education, healthcare, or a professional training environment.
- Excellent written and verbal communication skills.
- Strong organisational skills and the ability to successfully complete multiple tasks and meet deadlines.
- Ability to use your initiative and identify solutions when issues arise.
- Adaptable to new tasks and processes, and able to learn systems quickly.
- High attention to detail, particularly in data entry and document management.
- Ability to work collaboratively in a team and independently when required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience working with CRM systems.
- Keen interest in technology and the ability to quickly learn and adapt to new systems.
This role is part-time (0.6FTE) for 12 months, days to be worked are flexible.
