Utopia Financial Partners provides Tax and Accounting, Financial Advisory, Business Consulting, and Mortgage Broking services. We have two locations: our head office in Subiaco and a newly renovated south-metro office in Rockingham. We seek an Undergraduate Accountant / Administrative Assistant to join our team at our Rockingham office.

Position Overview

Working within the administration team, this frontline position plays a pivotal role within the company. The successful candidate will have experience in an administrative role, be proficient in Microsoft Office, and possess excellent communication and organisational skills. As the face of the company, you should have a positive disposition and polished presentation. This is a full-time role with an immediate start.

Job Description

  • Assisting the Director with Financial Planning compliance and advice
  • Supporting accountants with tax returns and advice
  • General administrative activities
  • Preparing valuations for financial planning clients
  • Answering incoming calls professionally and courteously
  • Managing our Customer Relationship Management system
  • Using Microsoft Outlook to book tax appointments for accountants
  • Providing administrative support to accountants and administrators as needed
  • Setting up new clients and maintaining the client database on MYOB AE and the ATO portal
  • Keeping reception area and meeting rooms clean and tidy
  • Assisting with Corporate Maintenance
  • Liaising with clients
  • Invoicing and processing payments
  • Preparing letters to clients
  • Working collaboratively as part of a team
  • Demonstrating flexibility and multitasking abilities
  • Collecting mail from the PO Box in Rockingham daily
  • Performing other administrative duties as required

Some on-the-job training will be provided in Subiaco, and occasional work at our Subiaco office may be requested.

This is a full-time, in-office position with an immediate start. An attractive salary package will be offered to the right candidate.

Working hours are Monday to Friday, 8:30 am to 5:00 pm (4:00 pm on Friday), with a one-hour lunch break.
