We currently have an exciting opportunity for an experienced Commercial Property Coordinator (12-month parental leave contract) to join Melbourne Airport's Property team. The group consists of Development, Project, and Asset Managers that collaborate on projects across sectors such as hotels, commercial offices, healthcare, retail, industrial, vaccination facilities, data centres, and surf parks.
Reporting directly to the Head of Property Development, you will gain insight into the operations of this close-knit team. Our culture is strong, which contributes to our success. We are seeking someone who can seamlessly integrate into this fast-paced environment, where teamwork is essential.
Your ability to communicate and connect with our diverse team is crucial. You will serve as the eyes and ears for the Head of Property Development / Asset Management and be the key connector that keeps the team aligned.

Key responsibilities:
- Coordinate bids and compile submissions for new Property Development projects
- Manage procurement processes, including drafting and executing agreements, purchase orders, and invoicing
- Champion the use of Property and Asset Management systems and oversee IT coordination
- Support hotel administration and manage the Hive Hotel operations
- Manage property website content and marketing activities, including creating marketing materials using programs like InDesign
- Assist in preparing and executing leases, agreements, deeds, and licenses
- Maintain and update the prospective tenant database; act as a primary contact for Property inquiries
- Provide administrative support to the Head of Property Development, including scheduling and meeting coordination
- Produce high-level documentation such as correspondence, agendas, presentations, and follow-ups
- Coordinate stationery, travel, credit card reconciliation, and attend meetings, including minute-taking
- Assist with onboarding new staff
The successful candidate will have:
- Extensive experience supporting diverse stakeholders, with strong prioritization skills and composure under pressure
- Excellent written and verbal communication skills, with sound judgment on issue management and prioritization
- Adaptability, efficiency, flexibility, and proactive needs assessment
- Prior administrative experience, preferably in the property industry
