Overview

Join to apply for the Administrator Philanthropy (12 month+ contract) role at Equity Trustees.

We have an exciting opportunity to join our Philanthropy & Community Trustees Services team in Melbourne. This role is key to supporting the administrative functions of the Philanthropy team, helping us deliver exceptional service to our clients and grantees across the for-purpose sector.

Key Responsibilities
  • Coordinate and distribute Philanthropy Advisory Committee (PAC) papers, take minutes, and maintain registers.
  • Manage grant administration following PAC, ensuring accurate records, reconciliations, and payments.
  • Provide administrative support for grant rounds using SmartyGrants and assist with year-end grant making processes.
  • Act as the first point of contact for enquiries from clients, charities, and stakeholders, managing inboxes and escalating where appropriate.
  • Support team meetings, strategy days, and events including logistics, preparation, and documentation.
  • Assist with promotional and marketing activities, disaster trust administration, and preparation of content for philanthropy initiatives.
  • Collaborate with internal teams in various forums, to support compliance, reporting, and continuous improvement.
What you'll need to succeed
  • Strong organisational and administrative skills with excellent attention to detail.
  • Experience working with databases, CRMs, or grant management systems (SmartyGrants and Salesforce experience highly regarded).
  • Excellent communication skills, both written and verbal.
  • A team player with a collaborative approach and a continuous improvement mindset.
  • Ability to manage competing priorities while maintaining high accuracy.
  • Relevant administration qualifications/experience; exposure to philanthropy, trustees, or the For Purpose sector highly regarded.
