POSSE is a leading fashion brand known for its commitment to quality, design, and customer satisfaction. We're looking for a detail-oriented and proactive Wholesale Assistant to join our team and support the seamless execution of our wholesale operations.

Job Summary:

The Wholesale Assistant at POSSE will play a crucial role in managing the end-to-end wholesale process. This role involves coordinating with our sales agency, ensuring accurate order processing through JOOR, and managing inventory and logistics with our 3PL partners in Sydney, USA and Hong Kong. The assistant will also work closely with our Finance manager, to ensure smooth financial operations. The ideal candidate will have a deep understanding of wholesale operations within the fashion industry, strong organisational skills, and a commitment to excellence.

Key Responsibilities:

Order Management:

• Collaborate with our Wholesale agents to receive and process wholesale orders via JOOR.
• Ensure accurate entry and tracking of orders in Indigo 8, our Inventory Management System (IMS).
• Monitor inventory levels and coordinate with our 3PLs in Sydney, USA and Hong Kong to ensure timely and accurate order fulfillment.
• Manage order processing, dispatching, and ensuring delivery to all major and boutique retail partners globally

Logistics Coordination:

• Liaise with our 3PL providers in Sydney, USA and Hong Kong to manage domestic and international shipments.
• Track and ensure on-time delivery of orders, resolving any issues that may arise during transit.
• Coordinate with customs brokers and freight forwarders for international shipments, ensuring compliance with all relevant regulations.
• Manage the distribution and tracking of product samples to sales agencies, showrooms, and clients.
• Coordinate the receipt, organisation, and return of samples, ensuring they are well-maintained and available for key sales events.
• Work closely with the design and production teams to ensure the timely availability of samples for seasonal launches.
• Serve as the main point of contact for retailers, providing updates on order status and addressing any concerns.
• Work closely with Wholesale agents to manage client inquiries, returns, exchanges, and order adjustments.
• Facilitate clear communication between internal teams and external partners to ensure client satisfaction.
• Collaborate with Hilldun Corporation and internal Finance Manager to manage invoicing, payments, and financial reconciliation for wholesale orders.
• Ensure all financial transactions related to wholesale operations are accurately recorded and reported.
• Action all invoicing, payments, and credit control whilst ensuring accuracy

Data Management & Reporting:

• Maintain accurate records of wholesale orders, inventory movements, and shipments in Indigo 8.
• Assist in the preparation of sales forecasts and inventory planning to support business growth.

Returns and Credits:

• Process Return Authorizations (RAs) and Credit Notes efficiently and accurately.

Qualifications:

• Minimum 1 year experience in wholesale operations, logistics, or supply chain management, preferably within the fashion industry.
• Proficiency in using JOOR, Indigo 8, and experience with 3PL coordination.
• Experience working with International major retailers preferred
• Highly proficient with Microsoft Excel.
• Strong communication and interpersonal skills.
• Exceptional organisational skills with a high level of attention to detail.
• Ability to work independently and as part of a team in a fast-paced environment.
• Problem-solving mindset with the ability to manage multiple tasks and priorities.
• An interest, enthusiasm, and passion for premium quality products and the fashion wholesale industry.
