Wholesale Operations Specialist

The Wholesale Operations Specialist will play a vital role in managing the end-to-end wholesale process. This position involves coordinating with sales agencies, ensuring accurate order processing through JOOR, and overseeing inventory and logistics with 3PL partners.

The ideal candidate will have a deep understanding of wholesale operations within the fashion industry, strong organisational skills, and a commitment to excellence.

Key Responsibilities:
  • Order Management:
    • Collaborate with Wholesale agents to receive and process wholesale orders via JOOR.
    • Ensure accurate entry and tracking of orders in Indigo 8, the Inventory Management System (IMS).
    • Monitor inventory levels and coordinate with 3PLs to ensure timely and accurate order fulfillment.
    • Manage order processing, dispatching, and ensuring delivery to major and boutique retail partners globally.
  • Logistics Coordination:
    • Liaise with 3PL providers to manage domestic and international shipments.
    • Track and ensure on-time delivery of orders, resolving any issues that may arise during transit.
    • Coordinate with customs brokers and freight forwarders for international shipments, ensuring compliance with all relevant regulations.
    • Manage the distribution and tracking of product samples to sales agencies, showrooms, and clients.
    • Coordinate the receipt, organisation, and return of samples, ensuring they are well-maintained and available for key sales events.
    • Serve as the main point of contact for retailers, providing updates on order status and addressing any concerns.
    • Work closely with Wholesale agents to manage client inquiries, returns, exchanges, and order adjustments.
    • Facilitate clear communication between internal teams and external partners to ensure client satisfaction.
    • Collaborate with internal Finance Manager to manage invoicing, payments, and financial reconciliation for wholesale orders.
    • Ensure all financial transactions related to wholesale operations are accurately recorded and reported.
  • Data Management & Reporting:
    • Maintain accurate records of wholesale orders, inventory movements, and shipments in Indigo 8.
    • Assist in the preparation of sales forecasts and inventory planning to support business growth.
  • Returns and Credits:
    • Process Return Authorisations (RAs) and Credit Notes efficiently and accurately.
