The Role
We're seeking a capable and proactive Mobilisation & Administration Team Leader to coordinate and support our four-person admin team. This team is at the heart of our operations—organising flights, onboarding new starters, preparing reports, and making sure every mobilisation to site runs smoothly.
In this hands-on leadership role, you'll make sure everything flows, from travel bookings to report submissions. You'll lead the team, provide training and support, and be the go-to person when things get tricky or time-critical. You'll also work closely with our service managers, technicians, and leadership team to continuously improve systems and support the business.
This is a full-time, Osborne Park–based role, ideal for someone who enjoys a mix of structure, communication, problem-solving, and coaching others.
Key Responsibilities
Lead and coordinate daily activities of the Admin & Mobilisation Team
Provide training, support, and guidance to ensure team members perform confidently and effectively
Oversee mobilisation activities including flights, accommodation, onboarding, and paperwork
Liaise with service managers and external stakeholders to resolve last-minute issues or urgent needs
Review and improve procedures and tools used by the team (manuals, checklists, logs)
Assist with compiling service reports and writing proposals using technician data (technical training provided)
Maintain accuracy and timeliness in booking, reporting, and administrative processes
Ensure a strong focus on customer service to internal stakeholders, especially our technicians
Support occasional parts ordering and operational coordination when needed
Skills and Experience
Prior experience in administration or mobilisation coordination (FIFO or mining preferred)
Demonstrated experience leading, coaching, or mentoring a small team
Excellent communication and interpersonal skills with a service mindset
Strong attention to detail and ability to deliver accurate work independently
Excellent time management and multitasking abilities
Proficiency in Microsoft Office Suite (especially Outlook, Word, Excel)
Comfortable working in or learning travel booking, HR, and document management systems
Experience working with technical data or reports (desirable – training provided)
Education, Qualifications & Technical Skills
Certificate III or IV in Business Administration, Logistics, HR, or related field (desirable)
Background or interest in mining or technical operations highly regarded
Strong written and verbal English communication skills
High-level document handling and reporting skills
Ability to read and summarise technical service information (training provided)
Experience with shared drives, Excel logs, and internal admin systems
Willingness to take part in continuous learning and process improvement
