Overview

Junior Medical Secretary – Rehabilitation Physician & Orthopaedic Foot and Ankle Surgeon Practice

About the Role
This is an exciting opportunity for a motivated and organised junior to join a supportive team environment. Reporting to the Practice Manager, you will be trained in many facets of our Medical Practice and provided with full training.

  • Providing medical secretarial support to the Rehabilitation Physician and Orthopaedic Surgeon.
  • Assisting other members of the administration team.

You will be part of an efficient and friendly administration team and working alongside a team of Exercise Physiologists and Physiotherapists in a collaborative and patient-centred environment.

Hours of Work:

Monday – Thursday
Friday: 9:00am – 1:00pm

Key Responsibilities
  • Training will be provided where required to support the following duties:
  • Liaising with Lingard Private Hospital
  • Welcoming and building relationships with clients and patients ensuring a professional and friendly disposition.
  • Managing clinician diaries, booking appointments, and handling patient enquiries.
  • Seeking treatment approvals from third parties (e.g., insurers) and updating systems accordingly.
  • Communicating with multiple stakeholders including Clients, Insurers, Doctors, and Allied Health Professionals.
  • Complete General medical reception and administration duties including data entry, incoming phone enquiries and emails, scanning, filing and preparing patient files
About You

We are looking for someone who is:

  • Able to quickly build relationships: You can build rapport with patients, clients and stakeholders of all ages and backgrounds
  • An excellent communicator: Confident liaising with patients, clients and stakeholders in person, by phone and email in an engaging and professional manner.
  • Organised and detail-oriented: Diligent with exceptional time management and organisational skills and an understanding of privacy and confidentiality requirements.
  • Technically capable: You will be trained to use Outlook, Microsoft Office, booking systems, and a keen willingness to learn practice-specific software
  • Customer service focused: With a positive attitude and willingness to learn
  • Experience: Previous experience is helpful, though not required. We will provide training.
