Position Overview

The Time and Attendance Specialist is the functional and technical expert for UKG and is therefore responsible for the efficient management and administration of our client's time and attendance system, utilising the UKG Workforce Management (WFM) platform. Supporting both BAU and project related work, this role demands a thorough understanding of timekeeping, scheduling, and attendance tracking, along with the ability to analyse data and ensure compliance with Australian and New Zealand labour laws and Bapcor's internal policies.

The specialist will collaborate with stakeholders to develop and implement process improvements, ensuring the system is utilised optimally. This includes defining business requirements, configuring the system, conducting user testing, and deploying business process solutions.

Health, Safety and Wellbeing (HSW)

  • Ensure personal safety and the safety of others by complying with all safe work practices, policies, procedures

and instructions

Work with the HSW team to ensure team are able to support Provide support and field HSW queries as required

and redirect / escalate to the appropriate HSW representative.

System Administration :

Manage and maintain the UKG WFM and HCM platform, including user access, configuration updates and system troubleshooting.Perform data audits and business process audits on a periodical basis for compliance and governance.Ensuring the accuracy and integrity of timekeeping data, supporting smooth payroll processing.Working with Payroll and P&C, maintainour client's organisation structure integrity within WFM and HCM and related employee data as required.Identify and configure where required both UKG WFM / HCM in line with Awards, Enterprise Agreements and labour laws as required.Support in the development of test scenarios specific to system improvements, enhancements and new functionality and complete user acceptance testing.Facilitate change and configuration enhancements, effectively plan, and manage communication of the changes to impacted stakeholders.Support leaders, managers, and team members to embrace change and manage through the transition from current to future state.Support the time and attendance team by providing expert knowledge and critical thinking skills.Coordinate system upgrades and maintenance with internal IT teams and UKG support as needed.Support ongoing reviews and adjustments to project outcomes, ensuring that any deviations from the expected benefits are addressed promptly, and that the full value of the investment in the UKG WFM system are realised over time.Engage with key stakeholders regularly to review benefit realisation progress, providing updates on performance and ensuring that all parties are informed and aligned in efforts to maximise the system's impact.

Data Analysis and Reporting :

Analyse time and attendance data to identify trends, anomalies, and opportunities for improvement.Generate regular and ad-hoc reports on attendance, overtime, absenteeism, and other key metrics.With Payroll and P&C teams, ensure compliance with labour laws, Awards and Enterprise Agreements,

including tracking hours worked, leave entitlements, and breaks.

Actively support activities related to benefits realisation by ensuring that the anticipated outcomes and

advantages of projects, particularly within the Time and Attendance and UKG Workforce Management

WFM) system, are continuously tracked, measured, and optimised.

Collaborate with stakeholders to define clear benefit metrics at the project's outset, ensuring alignment with

Bapcor's strategic goals.

Implement processes to monitor the achievement of these benefits over time, using data analysis and

reporting tools to assess performance and progress toward key objectives.

Identify areas where additional improvements can be made to enhance the overall value delivered by the

system, ensuring that the organisation continues to accrue measurable and sustainable benefits, such as

increased accuracy in timekeeping, improved scheduling efficiencies, enhanced compliance with labour laws,

and reduced payroll errors.

Support and Training :

Support the development and where required, the delivery of training documentation.Provide ongoing support to employees and managers regarding timekeeping issues, system navigation, and policy interpretation.Conduct training sessions on the UKG WFM system for new users and refresher sessions for existing staff.Update and maintain end user, technical user, system configuration documents and standard operating procedures and policies as required.

Policy and Compliance :

Working closely with Payroll and People and Culture teams to ensure compliance with relevant labour laws, including tracking accurate hours, leave and overtime.

Support the organisation's compliance initiatives by monitoring adherence to company time and attendance policies.

Continuous Improvement :

Identify areas for process improvement within timekeeping and attendance management.Collaborate with internal stakeholders to implement changes that enhance efficiency, reduce errors, and improve overall system functionality.Track, manage and escalate technical issues as required to UKG Customer Support.

UKG Roll out

Assist in the end-to-end implementation of UKG WFM modules and upgrades, collaborating closely with internal teams (Payroll, HR, IT) and external vendors to ensure timely and efficient deployment.Provide input into the project planning process, helping to define timelines, milestones, and key deliverables based on business needs.Configure and test features within the UKG WFM platform to ensure they meet business requirements, function properly, and integrate seamlessly with other HR and Payroll systems.Participate in User Acceptance Testing (UAT), documenting any issues encountered, and collaborating with IT teams to resolve technical problems before full implementation.Analyse existing timekeeping and attendance processes to identify inefficiencies, inconsistencies, and opportunities for automation or streamlining.Collaborate with cross-functional teams to redesign workflows that improve system functionality and reduce administrative burden on managers and employees.Support process improvement initiatives aimed at enhancing data accuracy, reducing manual entry errors, and improving the overall user experience with the UKG WFM platform.Collaborate on projects involving the integration of the UKG WFM system with other business-critical systems, such as payroll, HRIS (Human Resource Information System), and ERP (Enterprise Resource Planning) systems.Ensure that timekeeping data flows seamlessly across platforms, identifying and troubleshooting any integration issues that arise.Work with technical teams to design and validate integration touchpoints, ensuring data accuracy and compliance with organisational policies and relevant regulations.Participate in projects focused on enhancing reporting capabilities within the UKG WFM system, such as the creation of custom dashboards, KPIs, and reports for management.Design and generate reports that provide insights into employee attendance, absenteeism, overtime trends, and other key workforce metrics, tailoring reports to meet project-specific requirements.Ensure that reporting projects are aligned with business objectives and comply with internal policies, industry standards, and relevant legislation.Act as a liaison between internal stakeholders (Payroll, HR, Finance, IT) and external vendors or consultants, ensuring that the project's goals are clearly communicated and understood.Engage with key stakeholders to gather business requirements, provide status updates, and ensure alignment throughout each phase of a project.Proactively communicate any risks, delays, or issues to relevant stakeholders, and work with them to develop solutions or alternative approaches.Provide post-implementation support to ensure the smooth transition of new systems or features into daily operations, including resolving any initial technical issues or user challenges.Conduct follow-up training sessions for employees and managers on newly implemented features or system changes.Monitor the performance and effectiveness of newly implemented processes and systems, gathering feedback from users and suggesting further optimisations as needed.Ensure that any system modifications, new workflows, or integrations are thoroughly documented and shared with relevant teams.Facilitate knowledge transfer to internal teams by creating and maintaining comprehensive user guides, process documentation, and system manuals.

Requirements

Qualifications :

Relevant qualifications and experience

Experience :

Minimum of 3+ years of experience in timekeeping, payroll, or workforce management roles, preferably using UKG WFM or similar systems

Experience with UKG Human Capital Management module

Experience in configuring and testing time and attendance systems, as well as troubleshooting integration issues.

Strong ability to analyse timekeeping data, create custom reports, and interpret trends for decision-making.

Familiarity with relevant labour laws, timekeeping regulations, and payroll compliance requirements.

Expertise in using pivot tables, VLOOKUP, and other data analysis tools.

Leadership Competencies

Ability to lead and influence change by advocating for system improvements, fostering user adoption, and managing resistance to new processes and technologies.

Demonstrated ability to collaborate with and influence cross-functional teams (HR, Payroll, IT, and external vendors), ensuring that project goals align with business needs.

Practical experience with UKG WFM or similar workforce management systems, including configuration, troubleshooting, and integration with other business systems.

Manage, validate, and analyse large volumes of timekeeping data to ensure accuracy, identify trends, and generate actionable insights for decision-making and process improvements.

Comprehensive understanding of payroll cycles, leave accruals, overtime tracking, and other time and attendance processes.

Proficiency in configuring UKG WFM systems to meet specific business needs and conducting thorough testing to ensure system functionality and seamless integration with other platforms.

Competence in managing multiple time and attendance projects simultaneously, from system implementations to process improvements.

Strong communication skills, including ability to communicate across all stakeholder levels.
