Mission Statement:

This role provides executive assistance to the Australian Country Managing Director, with additional ad hoc support provided to the Country Legal, Human Resources, Communications and Finance Managers. The role will coordinate and manage executive scheduling, prepare and organize important legal and strategic materials and plans, and support board meetings and the preparation of board materials. This role serves as a key knowledge holder and connector within the Australian organization, ensuring meetings and materials are efficient and effective and serves as a trusted partner to the team.

Your Responsibility:

  • You must Email, diary and travel management (inc: bookings and expense reconciliation).
  • You will take care stakeholder management as first point of contact for overseas Hitachi Energy and Hitachi executives, Hitachi Energy Australia employees, customers, and external partners.
  • You must manage information flow in a timely, accurate and efficient manner.
  • You must Support / draft internal communications.
  • You must document management (e.g. electronic documents received via DocuSign.
  • You should schedule meetings on behalf of CMD (e.g. CLT, Townhalls, Board) including liaising with attendees to drive attendance / preparation of documents (where required).
  • You must take and distribute accurate and concise meeting minutes.
  • You must support company directors and Company Secretary in execution of fiduciary duties, Other adhoc support / projects as agreed from time to time.

Your Background:

  • Experience – over 4 years in a similar role.
  • Time management and organizational skills.
  • Strong attention to detail.
  • Interpersonal skills.
  • Ability to maintain confidentiality.
  • Highly Proficient with MS Word, Excel; Outlook; PowerPoint.
  • Learning agility – able to pick up new systems such as online tools, CRM, ERP.
  • Excellent written and verbal communication skills.
