Provide critical admin & document support
We have a fantastic opportunity for an experienced, self-motivated administrator.
Reporting to the Manager, Compliance and Services you will be responsible for administration of operational documentation in the Document Management Systems (DMS) and associated competencies in the Learning Management System (LMS), You'll be supporting the maintenance, operations, and project teams.
And when required support the team with documentation, records, drawing updates, contractor management and linking these tasks into the relevant Systems, like Content Register, EAM and DoneSafe.
Your duties will include:
- Update and audit the Red Folder Libraries in the Plant to ensure only the current document versions are being used.
- Maintain documentation maps, hierarchy and document writing standards and training evidence in training systems.
- Archiving records such as purchase requisitions for office consumables, invoice verification with approved timesheets and any other systems support as needed to support the operations teams.
- Strong communication skills written and verbal, customer focus and ability to work collaboratively with internal customers.
- Attend meetings, prepare minutes, and circulate actions.
- Assist with contractor administration, managing the contractor personnel records including the monitoring of contractor compliance.
- Liaising with Central Monitoring Station (CMS) to ensure contractor records are accurate provide a monthly Contractor Management report to CMS.
- Assign curricula and training for contractors using learning management system (LMS)
- Complete electronic filing, maintain contractor personnel records, engineering compliance documents using records management system.

To be considered you will need:
- Qualification in relevant administrative processes and or demonstrated experience.
- Experience in contractor administration management and purchasing processes.
- Experience in electronic data entry, record keeping and compiling reports.
Desirable:
- Knowledge of the property and facility management industry.
- Experience in the use of finance and maintenance systems including LMS, EAM and SAP Ariba.
- Experience in the use of Microsoft Office programs including Word and Excel.
Eligibility:
The successful applicant will be required to abide by ACDP (formerly ACDP) - Security Assessment and Microbiological Security Requirements for Personnel Working on the Australian Animal Health Laboratory (ACDP) Site.
