About the role:

  • The Senior Coordinator is responsible for providing confidential high-level coordination, project management and administrative support functions to the Clinical and Professional Leadership Unit (CPLU).

The role reports to the Principal Adviser and will work closely with team members within the office of the Executive Director and across the CPLU, in the development, implementation and delivery of a range of corporate reporting, branch operations and functions.

The Senior Coordinator is required to manage and coordinate the activities of CPLU to provide effective support services including: organisation and preparation of material for conferences; corporate events; meetings; catering and travel arrangements; office filing systems; financial matters; administration; accommodation; equipment and; contribute as a team member with other administrative officers.

How you'll make a difference:

  • Provide a range of effective executive support functions for CPLU, including: accurately managing projects and providing quality support to committees, working groups and meetings.
  • Establish systems and procedures to guide work and track progress and recognises actual and potential barriers and finds effective ways to deal with them.
  • Provide expert and authoritative advice, reasoned recommendations, and solutions to complex and sensitive issues.
  • Contribute to the full life cycle of projects as requested by the Chiefs or CPLU leadership team.
  • Liaise and consult with ministers' offices, senior leadership, other government and non-government organisations and external clients to convey the department's expectations and provide timely advice and referral as appropriate.
  • Operate with confidentiality, discretion and a high-level of integrity and autonomy in managing communication between executive staff and their offices, with key stakeholders, and the community. Independently allocate issues for resolution and reporting by directors, managers and other employees.
  • Identify and appropriately escalate issues having regard for political and environmental sensitivities and interrelationships of stakeholders and the integrated nature of program and service delivery activities.
  • Draft documents, within prescribed timelines, of a standard suitable for external distribution for final presentation of reports, letters and other documentation so as to achieve consistency of quality, professionalism and relevance of responses.
  • Develop and maintain a broad range of working relationships with internal and external partners through advice and consistent consultation.
