About Our Client:
Our client, based in Gladstone, QLD is seeking an experienced Rental Coordinator for a maternity leave cover position from September 2024 in a fulltime compacity working Monday to Friday, 38 hours a week.
About the Role:
This role primarily exists to coordinate and oversee key rental activities for the Hastings Deering rental business, and to assist the Rental Account Representatives and Rental Manager with timely and accurate support across the various role specific deliverables.
Your duties will include but are not limited to:
- Assist Rental Account Representatives with creating and sending rental quotations
- Prepare Rental Agreements and, where required, liaise directly with customers to have documents reviewed and signed for processing
- Action administrative tasks to complete Rental Agreements, such as obtaining and recording insurances and registering rental assets under the Personal Property Securities Act (PPSA)
- Upload Rental Agreements in ERP system (AX) for processing, ensuring accurate inputs for rates, hours, hire term, rental commencement, and other relevant details
- Ensure relevant system inputs are completed before month end, including excess hours, so that invoicing is correct and without errors
- Review invoicing reconciliation reports each, before end of month, to confirm accuracy and monthly rental sales
- Maintain accurate and ongoing updates for rental rate discounting register
- Liaise with external vendors and process orders for the supply of goods and services
- Work with internal stakeholders, such as business centre operations, to monitor service calls and equipment track-in and track-out activities including damage repair recovery
- Weekly engagement with Rental Account Representatives to review and update CRM and sales funnel, including leads, opportunities, lost sales, surveys, and issue resolution
- Bi-monthly review of debtors with Rental Account Representatives and Credit Department to assist with customer payments and reduce receivables exposure on customer trading accounts
- Monthly review of data from the 'active customer, spend trending and customer retention report' to determine spend and retention status, and to assist the Rental Account Representative with any associated actions
- Prepare decommissioning reports for rental equipment (rollouts) planned for used equipment transfer
- Demonstrate by behaviour, and guided by company values, the highest standard expected from leading supplier in our dealership territory
- Other rental support activities as required
To be successful for this role you will need the following:
- Certificate III in Business Administration or relevant Tertiary qualification
- Minimum of 5 years' experience in a similar coordination role
- Intermediate knowledge and understanding of general commercial principles and business practices
- Demonstrated ability to develop effective working relationships with cross-functional stakeholders to achieve outcomes
- Excellent attention to detail skills
- Ability to work within a team and unsupervised with excellent time
management skills
