Purpose of the Role

The primary tasks of this position are to facilitate the enrolment of students/registrants, to record information required for management and other reporting purposes and to assist in the provision of material and resources required to enable all educational activities to be conducted effectively.


As this position will normally be the first contact prospective students have with COL, it will also be essential that students have a strong positive experience in all their dealings with Student Services Officers.


Key Accountabilities

Ensuring effective enrolments/registrant service delivery by:

  • Taking ownership of each enquiry and follow it through to a satisfactory outcome for both student and College.
  • Data entry of student information in the College's student management system accurately (this includes but is not limited to Applications, declarations, attendance, grades and general updates)

Ensuring effective course support by:

  • Arranging the distribution of course material as requested
  • Preparing Student lists
  • Assisting in the preparation for On-Site activities

Maintaining effective customer relationships by:

  • Exhibiting College expected behaviours and values
  • Displaying professionalism by enthusiastically responding to client requests
  • Keeping the client fully informed
Ensuring that data collected can be used reliably for marketing and reporting purposes by:

  • Being accurate and thorough in the collection and recording of all required information
  • Filing student/registrant records promptly and as required
General

  • Assisting with the preparation and conduct of marketingoriented Course events including Orientation activities etc.
  • Providing relief assistance and cover for the College reception

Education/Qualifications

  • Two years' experience in a similar customer service environment, such as a Call Centre or a scheduling role.
  • Experience in tertiary education admissions

  • A strong orientation to the provision of a high level of customer service, including empathy with an ability to communicate with students and staff.
  • Attention to detail
  • Articulate and methodical with an ability to problem solve and to use own initiative
  • Ability to adjust readily to pressures and changes in the work environment and to learn quickly under pressure
  • Aptitude to work in a busy Support Centre environment
  • Capacity to contribute to team knowledge and development by sharing knowledge with other staff and providing constructive feedback
  • Capacity to listen to clients and colleagues and responds to queries and information in a way that demonstrates understanding of the other person's point of view
  • Competency in Microsoft Windows environment with experience in using Word and Outlook
  • Speed and accuracy with typing
