Role Purpose

The Accounts, Processes and Administration Officer provides financial, administrative, and clerical support to the Victorian FACS business. The role completes payments and controls expenses by receiving payments, plus processing, verifying and reconciling invoices. Management of the day-to-day payment cycle activities in a timely and efficient manner.

About the Role

The Accounts, Processes and Administration Officer is responsible for the Development, assessment and maintenance of accurate finance data, records and spreadsheets

This will include:
Development of process maps, flow charts and systems for streamlined accounting and financial processes

Maintain accurate and up to date financial accounts for the Family and Community Services, Victoria (FACS) team in line with Baptcare policies

Keeping track of all payments and expenditure, including purchase orders, invoices, statements etc.

Timely invoicing of client payments, brokerage and reimbursements

Confidentially manage documents, supplies and client files

Highly developed written and oral communication skills, including competent computer skills (Microsoft Office 365), IT & data systems

Reception duties

Reconciling processed work by verifying entries and comparing system reports to balances

Provide back-up for other administration staff, as required

Workplace Health & Safety responsibilities

Undertake any other duties that are required as part of the role

Experience and Qualifications Criteria

Minimum five (5) years' experience in finance, accounting, or bookkeeping

Ability to process records quickly and accurately, with an awareness of the policy and legal implications of the role

Demonstrated experience in finance administration and a working knowledge and demonstrated experience in banking, systems and reconciliations of large volumes of data

Demonstrated experience using MS Office 365, especially Excel and accounting systems - Strong focus on accuracy and attention to detail

Ability to set priorities and work within timeframes and deadlines

Strong organisation, interpersonal and communication skills (both verbal and written)

Understanding of and demonstrate Baptcare values and commitment to working in a collaborative and supportive team environment
