The role


We are currently seeking a dedicated Office Manager / Executive Assistant to provide exceptional support to HDR's Sydney Office and our Regional Managing Principal.

In this role you will play an integral part of ensuring the smooth functioning of our office as well as providing personal assistance to our Regional Managing Principal.

As a senior member of our operations support team, you will manage our Melbourne Office Coordinator and other administrative staff, providing support and mentoring.

This is a critical role to support the smooth functioning of our studio, and we'll count on you to:

  • Provide our Regional Managing Principal with personal assistance related to diary/travel management, recording meeting minutes, month end reports and office presentations
  • Manage office and facilities operations, including procuring office supplies, coordinating equipment maintenance, and liaising with cleaners and body corporate to ensure a wellmaintained and functional workplace
  • Actively manage the organisation and coordination of both internal and external events
  • Manage Australian Standards subscriptions and other industry requirements
  • Support reconciliation of expenses and receiving and checking of timesheets on behalf of the Regional Managing Principal and senior business leaders
  • Drive the daytoday operations of the business including managing our administrative team and occasional frontofhouse duties.
This role is being offered on a fixed-term parental leave contract, based in our state-of-the-art Sydney Studio. The role is open to full time or part time arrangements, minimum 4 days per week.

Qualifications

Qualifications & Experience

  • 8+ years' experience working in an office management capacity, preferably within the AEC industry
  • Experience providing EA support to senior executives
  • Experience working within architecture, interior design or graphic design highly advantageous
  • Highly proficient across the Microsoft Office Suite
  • Strong communication skills, both verbal and written
  • Calm under pressure and able to prioritise an everchanging todo list
