Assistant Manager Purchasing - (Caringbah, NSW)

Position Overview:

An exciting role as an Assistant Manager Purchasing is now available at our clients Warehouse at their Caringbah location.

This opportunity is perfect for an ambitious professional seeking to thrive in the realm of purchasing, inventory management, and warehouse operations.

Reporting to the General Manager Finance & Accounting, you will play a vital role in optimising procurement processes and ensuring the efficient flow of goods.

The role is within a niche industry who supply and maintain an industry of Cinema venues.

It may require the successful person in assisting the Warehouse Manager in stock takes and possibly obtaining a forklift license paid for by the Company to assist in the receival and dispatch of Orders.


Key Responsibilities:

  • Validate international purchase orders to ensure accuracy in goods receipt and invoice matching.
  • Analyze inventory movements to strategically time purchasing orders.
  • Collaborate with suppliers, freight forwarders, and import agents to coordinate international deliveries.
  • Assist the Group Technical Manager in stock purchasing endeavors.
  • Step in as an alternate for the Warehouse Manager, overseeing physical inventory activities.
  • Physically receive and manage stock movements, matching them with purchase orders
  • Contribute to effective stock transactions through the SUN electronic accounting system.
  • Work closely with Territory Branch Administration Officers to fulfill orders from the main warehouse.
  • Engage with customers to ensure precise and timely order fulfillment.
  • Participate in regular stock counts alongside the Warehouse Manager
  • Uphold a commitment to maintaining quality and a safe work environment.

Accountabilities:

Policy and Procedures:

  • Strategically analyze inventory movements to optimise purchasing timing.
  • Coordinate large international deliveries through collaboration with suppliers, freight forwarders, and import agents.
  • Support Territory Administrators in efficient inventory purchasing.
  • Establish and maintain supplier accounts for seamless inventory management.
  • Ensure costeffective freight solutions, communicating additional costs to customers as needed.
  • Manage shipping delays and provide timely ETA updates for significant deliveries.
  • Contribute to enhancing warehouse operational performance.
  • Enforce compliance with stock control policies and procedures through SUN.
  • Assist the Warehouse Manager in daytoday operations and act as a capable alternate when required.
  • Maintain a secure work environment, adhering to health, safety, and environmental guidelines.
  • Contribute to the optimization of processes and procedures within the NSW facility.

Relationship and Customer Management:

  • Exhibit exceptional customer focus and adept communication skills, both internally and externally
  • Foster positive and cooperative relationships with suppliers and customers to ensure exceptional service delivery.
  • Communicate effectively with internal departments, branches, and various customer groups.
  • Handle supplier and customer communication with professionalism and courtesy
  • Represent the company in a highly professional and enthusiastic manner.
  • Uphold rigorous standards of quality control and an unwavering commitment to excellence.

Specific Duties:

  • Manage international purchasing, oversee freight bookings, and maintain clear communication with suppliers.
  • Collaborate effectively with freight forwarders and import agents.
  • Ensure internal teams are updated on order status and delivery timelines.
  • Maintain accurate records by entering purchase orders into the SUN accounting system.
  • Monitor and regulate minimum stock order quantities to forecast future needs.
  • Oversee stock levels, replenishment, and promptly report damaged or short deliveries.
  • Skillfully handle returns, RMAs, and back orders
  • Foster relationships and work closely with Technical Managers on international purchases and freight bookings
  • Collaborate with Territory Administration Officers to fulfill orders from the main warehouse.
  • Partner with the Warehouse Manager on stockrelated tasks, including stocktaking and order distribution.

Skills and Knowledge:

  • Meticulous attention to detail and strong numerical proficiency
  • Excellent customer service and communication skills, including a polished phone manner.
  • Competent forklift operation skills with a valid forklift license or willingness to obtain one.
  • Profound familiarity with WH&S and manual handling regulations
  • Possession of a Certificate IV (or equivalent) in WH&S would be advantageous.
  • Prior exposure to electronic accounting and inventory systems
  • Minimum of 5 years of proven experience in warehousing and logisti
