This position is accountable for providing administrative and operational support to the Foundation College Adult Migrant Education Program (AMEP) Business Area.


This role will focus on providing administrative advice, professional support and service as well as responsibilities for any allocated specific activities and projects.


The incumbent is a key and active participant in the Foundation College AMEP business area and provides expertise in relation to key administrative functions.


Your key accountabilities will be to:

  • Assist in the preparation of a range of regular and ad-hoc reports, documentation, papers and submissions
  • Provide assistance with meeting support including room booking, preparation, minutes, agendas and document dissemination
  • Undertake other administrative and related duties as required to ensure the best quality of support and the effective functioning of the area
  • Assist in maintaining a centralised electronic filing system for records in the area, including TRIM and manual records, to ensure accessibility and reliability of business information
  • Provide support in the control of stock and stationery orders to ensure cost control and the reliability of equipment and stock levels
  • Continuously support any improvements in administration processes and systems to ensure they meet requirements, standards, changes and growth demands
  • Develop internal and external networks to ensure the dissemination of information in the right format to the right people at the right time, and to build relationships and contacts to facilitate the future exchange of information

ABOUT YOU
You will have the following skills, qualifications and experience;

  • Relevant qualifications at a minimum of Certificate IV level in Business Administration or related discipline or equivalent experience in a similar role
  • Proven experience in providing administrative support in a complex working environment
  • Demonstrated experience and strong knowledge of Microsoft Office including MS Excel, MS Word, PowerPoint
  • Experience in providing service excellence to all internal and external clients
  • Proven experience in process improvement, utilising creativity and internal networking to see projects through to delivery
  • Demonstrated ability to build rapport and effectively engage with a diverse range of stakeholders
  • Excellent written, and verbal communication and interpersonal skills
  • Excellent attention to detail and commitment to accuracy
