About the role
Dynamic legal support role now available in our Melbourne office working alongside Partner James Russell and team.

James provides first-class legal advice on a wide variety of complex dispute resolution matters, with a particular focus on consumer protection and regulatory litigation, technology related disputes, internal investigations, and large commercial disputes including class actions and transactions.


The role would be well-suited to an experienced legal secretary/assistant who can offer quality support to a newly appointed Partner and team, providing valuable insights and process improvements as they build their growing practice.

With a broader team of long-standing PAs to collaborate with, this opportunity offers long term career prospects, the chance to get involved in legal matters beyond the administrative day to day, as well as a fantastic team culture.


You can expect your daily responsibilities to include:

  • Managing and maintaining files
  • Preparing legal documentation (e.g. submissions, defences, witness statements, affidavits, complaints, agreements)
  • Digital dictation transcription
  • Organising meetings and travel
  • Providing top client service to external and internal clients answering phone calls, communicating author availability, and relaying messages
  • Diary management
  • Maintaining both electronic and paper filing systems
  • Printing
  • Booking conference rooms, functions
  • Managing the monthly billing process entering time and preparing bills
  • Opening files, conducting conflict searches and obtaining appropriate approvals
  • Assistance with proper file closure procedures
  • Liaison with the Business Development team, including assistance with updating firm CRM (OnePlace and ClientHelp)
  • Liaising with finance on various file and billing matters
  • AMEX reconciliation/expense management

What experience are we looking for?

  • Minimum of 3 years in a legal assistant or legal secretarial role
  • Solid typing skills
  • Digital dictation experience preferred
  • Advanced knowledge of Outlook, Word, Excel and PowerPoint
  • Knowledge of the monthly billing process in a legal environment (particularly experience with Elite) highly regarded
  • Ability to communicate clearly and concisely
  • Welldeveloped interpersonal skills
  • Confidence and ability to use initiative appropriately
  • Effective planning and organisational skills
  • Reliability
