About the role
We are seeking an Administration Support Officer to join our Melbourne team.
Job purpose
The Administration Support Officer plays a vital role in ensuring the efficient delivery of high-quality outcomes to AMC clients by supporting Operations, Advisory consulting projects, Technical Communities, and Business Development functions. This role operates within the AMC Project Delivery Framework locally, regionally, and globally.

Skills Required
Core Functions
- Assist in creating, storing, sending, and retrieving project engagement letters and purchase orders.
- Generate project documents including subcontractor agreements, client/third-party letters, reports, and proposals per the global support framework.
- Format and process letters, reports, proposals, and other documents as needed.
- Establish and manage proposals and project files within defined business systems.
- Coordinate with finance on client invoices as necessary.
- Support database information input, editing, and management.
- Organize local onboarding/secondments.
- Assist with recruitment tasks as required.
- Arrange travel bookings and related documentation.
- Review and update local asset registers.
- Handle general administration tasks such as report binding, collation, and filing.
- Maintain office facilities and supplies.
- Perform other duties as assigned by the Business Support Manager and/or General Manager.
- Excellent team collaboration and independence skills.
- Ability to manage confidential and sensitive matters with professionalism and discretion.
- Strong communication and interpersonal abilities.
- Capability to work effectively under pressure.
- Proficiency in CRM systems and various computer applications, including Microsoft Office 365 suite - MS Teams, SharePoint, Excel, and Outlook.
- Proactive mindset with a willingness to take initiative within provided guidelines.
- Minimum of 5 years' experience in an Administrative role.
- Familiarity with MS Teams or BST10 is advantageous.
