An exciting opportunity has arisen to undertake the role of
Personal Assistant to the Chief Financial Officer and the General Manager - Shopping Centres, on a 12 month full-time contract with the possibility of extension or permanency.



  • Extensive diary management and scheduling along with Inbox management & drafting replies when required
  • Meeting preparation ensure CFO & GM
  • SC have all documentation required for meetings
  • Take minutes from internal meetings in prescribed format and distribute to attendees as required
  • Follow up meeting action items as required and directed
  • Coordinate the timely execution of lease and other documentation
  • Oversee all travel, accommodation bookings and associated logistics
  • Oversee RSVPs of incoming invitations
  • Electronic filing on SharePoint
  • Any personal ad hoc requests as required
  • Arrange catering requirements meetings etc.
  • Greet guests on arrival, prepare meeting room and offer refreshments
  • Arrange/book couriers
  • Postage when required
  • Process invoices via Concur for payment
  • Reconcile Credit Cards as directed
  • Assist with Corporate Events as directed.

Qualification Requirements:

  • 25 years' previous experience in an administration position.
  • Driver's License essential.
  • Strong Microsoft Office experience and ability to quickly learn new systems with training.

  • Good verbal and written communication skills.
  • Good interpersonal skills with the ability to build and maintain productive working relationships with internal and external stakeholders.
  • Good organisational skills with the ability to effectively prioritise and manage multiple deadlines whilst delivering accurate and quality work.
  • Professional appearance and telephone manner
