About the role


The Administrative Assistant works under the direction of the Manager Health Information Services and ICT or approved delegate to assist in ensuring timely and appropriate responses to requests for health records information.

Information must only be released in accordance with NSW Privacy Laws, associated NSW Health Policies, and department procedures. Medical records are complex and in both paper and electronic forms.

Key Responsibilities


Use the iPM Patient Administration, CAP systems and historical indexes to locate the various parts of the record for each patient, as well as the ARIA systems, eRIC and Medchart systems when appropriate.


File documents and records as needed, incorporating loose documents into the paper medical records, and return records to the CID sorter and/or Main 1 or Main 2 file locations.


Ensure all position and ROI policies, guidelines and procedures are adhered to as advised by the Manager or their approved delegate.


Use effective written and verbal communication skills appropriate to the intended audience and situation, ensuring professionalism and confidentiality in all matters.

Privacy of patient personal information is protected at all times in any format and in all discussions.

Ability to prioritise high volume workload, manage work in accordance with deadlines, exhibit high attention to detail in all work, and a flexible approach to work.

Proven skills in word processing, medical terminology, and ability to produce high standard business documents.

The Calvary Mater Newcastle is an Affiliated Health Organisation providing services to both public and private patients primarily from the Hunter New England area.

Current employees of NSW Health can request to have various leave entitlement balances transferred to Calvary Mater Newcastle on commencement.
