The opportunity


We have an exciting opportunity for a Customer Service Administrator to join our team on a fixed term full-time basis.

Whilst reporting directly to the Community Care Manager, you will support a positive client experience by providing operational support at the service centre to staff and clients to manage client wellbeing.


Key responsibilities

  • Identify new and changing client referrals using the appropriate systems.
  • Timely preparation of new client files and support plans.
  • Implement support plans to ensure quality care is delivered in accordance to client needs, contractual obligations and current policies and procedures.
  • Manage client visits for allocated staff roles, communicating these appointments with the clients.
  • Work with the team to reduce the clients on hold, cancellations and ensure that we are meeting the clients' expectations in relation to services.
  • Monitor and action open task no service reports.
  • Maintaining client files during their service with Silverchain both electronic and physical files.
  • Prepare client files and documentation for nonclinical file reviews and other audits as required.
  • Maintaining compliance in relation to separation of client files.
  • Assist new providers with their onboarding, training schedules and service centre orientation.

About you
You will have a strong background in administration and in addition to this:

  • Strong administration skills and ability to schedule meetings, prepare documentation and provide general administrative support to maintain smooth daily operations.
  • Experience in being first point of contact for clients and the ability to multiskill and work under pressure whilst maintaining composure and professionalism.
  • Confident using Microsoft Suite and other software packages.
  • Welldeveloped communication skills to be able to listen effectively and interact with a variety of people including clients, their carers, family members and staff and volunteers with varying needs and requests.
  • Demonstrated interpersonal skills to build and develop effective work relationships.
  • Demonstrated time management and organisational skills to effectively plan work tasks and meet scheduled deadlines.
  • Demonstrated ability to work autonomously.
