Key responsibilities of the role
Pre-Show:
* Processing new member applications and membership renewals.
* Check the membership inbox/Freshdesk on a daily basis to review and respond to incoming member enquiries.
* Generate membership data files via CRM and provide to fulfilment partner for distribution of digital passes and membership cards.
* Prepare any membership packs/cards for collection if required.
* Manage and assist with any reciprocal rights membership requests.
* Responding to general enquiries relating to membership and other enquiries coming through to Reception.
* Updating member information in the CRM when and if required.
* Outbound telephone activity to 2023 members to encourage them to renew their membership.
* Supporting Reception during breaks and other times as required.
During Show:
Membership
You will be based at the Reception area between the hours of 9.00am and 6.00pm. You will be the first point of contact for any membership queries or applications, either in person, telephone or email. Any issues or questions that cannot be resolved should be escalated to the Membership & CRM Specialist.
Reception
In addition to the above, you will be required to support Reception, under the direction of the Receptionist/Office Coordinator. This will include general reception duties such as;
* Welcoming clients and visitors, answering phones, emails and voicemails and being the initial point of contact for all enquiries.
* Ensuring visitor book/visitor check in process is adhered to.
* Ensuring the reception area and meeting rooms are kept clean and tidy.
Key competencies of the role
* Demonstrated experience working in an administrative and/or reception role.
* Previous working experience in event sector would be highly desirable.
* Demonstrated experience with the Microsoft Office suite including Word, Excel, Outlook and PowerPoint.
* Previous experience using a CRM/database.
* Excellent organisational and time management skills.
* Ability to prioritise and manage multiple and competing work tasks and deliver to agreed deadlines.
* Ability to work independently, with limited supervision.
* Exceptional interpersonal skills with the ability to work with a broad range of people (clients, visitors, etc).
* Courteous, with high levels of professionalism and customer service skills.
* Positive and cooperative team player.
* High attention to detail.
* Adaptability and flexibility to be able to cover absences at short notice.
* Friendly, positive and reliable.

* High levels of customer/ member satisfaction.
* High levels of Melbourne Royal staff satisfaction.
Organisation Compliance
* Complete mandatory online Occupational Health and Safety Induction Program.
* All employees are required to have and maintain a current Working with Children Check.
* Be available to work all 11 days of the Melbourne Royal Show.
