About the Role
The Project Management Office (PMO) Governance & Systems Development Coordinator is responsible for enhancing the PMO’s ability to deliver projects through the development and optimisation of Smartsheet capabilities, including reporting, tracking, and system functionalities. This role ensures governance and compliance with PMO standards, while providing dedicated support and training for both PMO and non-PMO project teams.
The purpose of the coordinator is to manage the administration of PMO systems, ensure the adoption of PMO tools, and conduct monthly quality assurance monitoring to maintain project data integrity. Through continuous improvement efforts, particularly in Smartsheet development, this role plays a key part in advancing the PMO’s ability to track, report on, and successfully deliver projects in alignment with Baptcare’s strategic goals. The role assists Baptcare to achieve its strategic goals by ensuring efficient, compliant, and well-governed project management.

You will ideally bring the following:
- Smartsheet development & management: Strong experience in Smartsheet development, including creating reports, dashboards, and tracking systems that support project management and reporting.
- Project Coordination experience: Minimum of 2 years in project coordination, project management, or a similar role, with demonstrated ability to manage project controls, reporting, and compliance.
- Organisational & process management skills: Excellent organizational skills with attention to detail, and proven ability to manage and streamline complex processes across multiple projects.
- Quantitative & analytical skills: Demonstrated strong quantitative and analytical skills, with experience in tracking, reporting, and interpreting project data for informed decision-making.
- Technical proficiency: Advanced proficiency in Microsoft Office Suite (including Excel and PowerPoint) and experience using other project planning tools (e.g., MS Project, Power BI). Trust & communication: Proven ability to build trust and maintain strong communication at all levels of the organization through consistent actions, values, and transparency
