The Australian Orthotic Prosthetic Association (AOPA) is the peak professional body responsible for regulating the orthotic/prosthetic profession in Australia and providing member services. AOPA provides an extensive range of members services, including access to education events and activities that align with the Continuing Professional Development program.

The AOPA National Congress is a core component of AOPA’s education program and the flagship national event for O&P in Australia. In 2024 the congress will be delivered for the 14th time as a 3-day face to face event, filled with keynote speakers, free papers, workshops, social functions, a large exhibition and targeted networking activities such as the student and technician welcome events

The AOPA Congress Committee plays a lead role in supporting the National Office and Board to deliver this large national event. Led by a Congress Convenor and supported by Secretariat staff, the Congress Committee undertakes many planning, operational and development tasks to ensure the congress is delivered to a high standard, on time and on budget.

Why become the Congress Convenor?

AOPA is a small peak professional body which is well-served by several important committees. AOPA provides opportunities to expand practitioners’ skill set, enhance governance knowledge, increase your professional network and take on leadership roles through participation in our committees.

There is no greater opportunity to enhance and grow leadership skills than through the role of AOPA Congress Convenor. In particular, this role allows development of project management skills. The AOPA congress has many moving components, deadlines and stakeholders. The Convenor has the opportunity to finely tune these skills in a supportive environment with assistance of the AOPA staff team, the Congress Secretariat and the Congress Committee. In addition, this is an opportunity to contribute to the budget development and management of a large project.

Past Congress Convenors have gone on to contribute to AOPA further by joining other committees or through election to a Board Director role. They represent key leaders and long-term contributors to the O&P profession.

Purpose of the AOPA Congress Convenor

The Congress Convenor has the key responsibility for delivery of the event. This includes coordination of the secretariat support and congress committee to ensure activities are completed on time and on budget. Whilst this role involves substantial delegation, it also requires autonomous decision making and effective leadership. The Convenor and committee is not supported by a Professional Conference Organiser and therefore the convenor has responsibility for over-sight of all committee activities.

AOPA is seeking a congress convenor for delivery of the 2024 and 2025 congresses

Current team

The Congress Convenor is supported directly by AOPA staff which includes the Congress Committee Secretariat (Ashleigh Greig), the CEO (Jessica Landers), and the Communications Coordinator. In addition, the congress committee consists of between 5 and 8 committee members with varying levels of experience in delivery of the event.

Time Commitment Required

The Congress Committee meet formally via teleconference on a fortnightly-monthly basis depending on the requirements of the team The committee communication is via Whats app and email throughout the week to enable flexible time commitment for committee members.

The Congress Convenor is responsible for the management of the congress email address and therefore must have consistent and regular availability and flexibility. It is anticipated that the Convenor will lead the delivery of the event and therefore substantial time for communications with staff, committee and stakeholders is required. It is anticipated that approximately 5 - 10 hours will be required per week. Approximately 5 hours is more likely in the first 3-6 months and then 10+ hours may be required in the last 3-4 months in the lead-up to Congress. It is recommended you are able to manage this workload in your personal time, however it would be an advantage if you are able to come to an agreement with your workplace to allow you to undertake some of this work during your work day to communicate with people during office hours.

Tasks you will be required to complete:

Assisting with the formulation of the budget Assisting with the assessment of the free paper submissions Communication to all authors of the outcome of their free paper Managing the case studies submitted for the deep dive sessions and formatting discussion guides and PowerPoint for such sessions Communicating and inviting potential invited speakers and panellists from interstate and international Working with the communications officer to ensure marketing and advertising are appropriate and, timey throughout the year for the target audience e.g. students, clinicians technicians other allied health professionals/. Delegate tasks to the committee and other volunteers to ensure the smooth running of the events, e.g. roving mics, session chairs, and food selections for the day and night events. Plan surrounding events such as the social function. Formulate the program and schedule of presentations Assist with the formulation of the Congress proceedings Develop articles for the AOPA Review regarding congress.

The congress convenor will be paid an honorarium on an annual basis in recognition of the substantial contribution of time and effort to the role, the event and to AOPA. The convenor also receives complimentary full registration to the AOPA congress and support with other expenses such as interstate travel as required.

Desirable attributes

AOPA certified practitioner that has previously attended congress Past experience as a presenter or involvement in delivery of an AOPA education event is highly desirable A confident communicator and decision maker Past experience as a committee chair, including developing agendas and leading discussions and decisions Past experience in project management, such as monitoring budgets, delegation of tasks, and monitoring action plans or critical paths An organised mindset and willingness to manage and complete tasks with support from the congress secretariat A passion for education and the advancement of O&P Excellent communication skills to assist with contribution to discussions and decisions and communication with a wide range of stakeholders
