Senior Subcontracts Officer & Contracts Administrator

The opportunity 

This exciting role has two elements. On the one hand, it will involve leading a team of subcontract officers who administer all of our subcontracts that assist us to deliver services to clients. On the other hand it will involve ensuring our Contract Management System (CMS) is managed and optimised for all contracts across the Silverchain Group. This role will develop good relationships with stakeholders across the business and drive a change program needed to optimise administration and management of a high volume of contracts and subcontracts.

Key responsibilities 

  • Supervise, mentor and assist subcontract officers to ensure seamless support for internal stakeholders using subcontractors.
  • Provide guidance on subcontract lifecycle management and workload priorities.
  • Cultivate a culture of continuous improvement by setting S.M.A.R.T. goals and motivating the team.
  • Proactively identify opportunities to improve subcontracting processes and procedures.
  • Collaborate closely with internal stakeholders to align subcontracts with their requirements.
  • Ensure subcontracts undergo relevant stakeholder review and approval, following our Delegations Policy.
  • Suggest and implement measures to streamline compliance and compliance records for our subcontractors.
  • Support supplier relationship management and performance reviews as these relate to subcontracts.
  • Document subcontractor performance issues and collaborate on solutions.
  • Develop strategies to enhance subcontractor performance and value for money.
  • Support the maintainance of all Silverchain contracts and related documents and legal templates in the CMS.
  • Maintain the CMS access register, monitor system performance and address any issues or risks.
  • Proactively improve contract administration and management processes for a high volume of contracts and subcontracts.
  • Assist in enhancing relevant systems, policies, and procedures.
  • Additional Responsibilities:
    • Undertake project work and other assigned duties as needed.

About you

  • Relevant field qualifications (e.g., procurement, law, finance, project management) is desirable
  • Experience in contract management and administration is desirable
  • Effective leadership, and a demonstrated track record of encouraging team excellence and driving change management programs
  • Strong attention to detail
  • Efficient time management and organizational skills
  • Excellent communication and negotiation abilities
  • Collaborative work with internal stakeholders
  • Demonstrated ability to manage supplier relationships and performance
  • Knowledge of contract management best practices and regulations
  • Familiarity with Agiloft or similar contract management systems would be advantageous
  • Focus on data integrity, critical analysis, and identifying discrepancies
  • Desirable experience in contract negotiation and interpretation
