Team Coordinator - 6-month fixed-term contract

  • Provide "right-hand" support two WooliesX senior leaders
  • Surry Hills office location, with working from home flexibility
  • 6-month fixed-term opportunity

Welcome to WooliesX

As a business inside one of Australia's largest retailers, WooliesX aims to bring the best of Woolworths Group to our customers.

We're an innovation business that brings together the brightest minds in e-commerce, technology, media, and data to transform how people live and shop. With an industry-leading technology team backed by analytics, we're resourceful and willing to experiment. Our agile teams are empowered to innovate and deliver an excellent experience for our customers - whether they shop in-store or online.

What you’ll do

We currently have an opportunity for an experienced and passionate Team Coordinator to join the WooliesX team on a fixed-term capacity for 6 months. You will play a crucial role in a true business partnership providing confidential "right-hand" support in all aspects of assistance to two of our senior executive team members within the WooliesX team.

Key responsibilities of the role include:

  • Complex diary and email management, managing communication with internal and external stakeholders, helping our leaders to plan ahead and clear roadblocks.
  • Take ownership of relevant documentation including presentations, emails, agendas, expenses, papers and minutes for meetings, and improve document templates as required.
  • Assist with event coordination as required for regular events including monthly finance and annual strategy cycles, quarterly planning or town halls, including room booking, catering and set up.
  • Support the annual strategic development outputs of the WooliesX business, inclusive of project monitoring.
  • Support the coordination of onboarding for new team members, including contractor onboarding.

What you’ll bring

Having previously provided Team Coordinator or Executive Assistance support at a senior leader level, it is a given that you will be a master at the administration foundations. We are looking for a proactive and pragmatic individual who can successfully build relationships across the Woolworths Group to get the job done.

In detail, you'll be able to demonstrate:

  • Exceptional organisational skills and highly proactive with the ability to discern what takes priority, what can be handled directly, and what needs to be escalated.
  • Ability to plan for the predictable, yet handle the unexpected and excel at prioritising tasks effectively, whilst collaborating with the broader Team Coordinators / Executive Assistants to enable alignment.
  • Be visible - confident in sharing your observations, thoughts and ideas, but respectful of the confidentiality boundaries that will exist in this role.
  • Ability to own or support our key processes/initiatives as needed.
  • Be able to develop relationships internally within WooliesX and the wider Woolworths Group and network to help get the job done.

What you’ll experience

Our Team Members are at the heart of everything we do and we’re always looking for ways to support your career journey and reward great work:

  • Team discounts across our range of Woolworths Group brands you know and love and a robust rewards program that celebrates and incentivises purpose-driven work.
  • An attractive remuneration package.
  • A range of programs to help you prioritise and manage your wellbeing, including a competitive leave policy and 24/7 access to the Sonder app.
  • A progressive and flexible policy that gives you control over your work, life and wellbeing.
  • A global business with endless career possibilities around every corner and across every discipline – with valuable exposure to a vast and exciting business network.

Endless possibilities with Woolworths Group

We’re a proud part of the Woolworths Group – 200,000+ bright minds, passionate hearts and unique perspectives working together connected by a shared Purpose – ‘to create better experiences together for a better tomorrow.’
