The role
An exciting opportunity exists for a Receptionist to join our Melbourne office. You will be the first point of contact for our internal staff and clients and you will have a strong focus on delivering exceptional service to our partners, staff and clients in a timely manner.
 
The hours of reception are 8 am to 6 pm, Monday to Friday and this is a part-time position, working 1.00 pm to 6.30 pm, three days per week (Monday, Wednesday, Friday) onsite.
 
Overview of key responsibilities
The range of duties the position is responsible for include but not limited to:

  • Greeting and checking in all visitors in a friendly and professional manner;
  • Manage incoming telephone calls for both Melbourne and Sydney staff and directing and relaying telephone messages;
  • Screening and receiving visitors entering the office, and directing them to the appropriate staff member;
  • Managing the room booking system, including organising offices for visiting partners and staff;
  • Ensuring the reception area and meeting rooms are clean and presentable at all times;
  • Assisting in the planning and preparation of meetings held in the office;
  • Providing administrative assistance to support staff members if required;
  • Assisting in making travel arrangements when necessary for clients and/or staff; and
  • Performing other related duties on an ad hoc basis.

The successful candidate
The successful candidate will possess a committed, proactive and service oriented approach to work, demonstrating the following skills and experience:

  • Reception experience in a professional services environment (desirable);
  • First class communication and interpersonal skills with a strong client service focus;
  • Advanced switchboard / Zoom phone experience;
  • Excellent organisation skills and a high level of attention to detail;
  • Excellent time management and ability to prioritise conflicting priorities;
  • Ability to use tact and discretion when dealing with clients, partners and staff;
  • Ability to use initiative and maintain a high level of excellence when working under pressure;
  • Demonstrated ability to work as part of a team, to share ideas and to respect others; and
  • Basic Microsoft Work and Outlook skills.
