Planning Coordinator

The Opportunity

The Waving and Workforce Planning Coordinator is responsible for controlling and coordinating all daily operations through waving and rostering functions, whilst ensuring internal and external customer service needs and expectations are met. You will also support the receptionist with coordinating office staff/warehouse activities. A fundamental part of your role is to greet all internal and external visitors in a friendly and helpful manner, listen to their needs and determine the best route for their enquiry, including all appropriate onboarding and inductions.

**Requires availability from 5am Monday - Friday**

Key Responsibilities

  • Supporting with the planning and allocating of daily/weekly/monthly forecast while aligning labour requirements
  • Develop staff rosters and amend as required to ensure operational success with minimal impact to budget, service level agreements, and in line with KPI’s
  • Manage the day to day absences’ coverage including analysis of cover need and the reorganisation of workload assignment in line with daily absences
  • Continuous development of rostering, wages and costs (such as training) to ensure best practise and efficiencies are implemented
  • Manage induction/orientation programmes for new employees and complete site inductions for contractors and any other relevant personnel
  • Participate in site meetings to review distribution productivity levels and to enable on-going improvement of systems and procedures
  • Ensure that site performance complies with OFC management directives, customer requirements and business expectations at all times
  • Support the Planning Coordinator to monitor and report site resource utilisation and resource usage to achieve budgeted and required productivity targets
  • Support in the daily/weekly reporting on site including but not limited to KPI’s, safety, inventory accuracy, agency performance, absenteeism etc.

Who are we looking for?  

  • Rostering and/or workforce planning
  • Prior experience in waving and/or workflow coordinator and/or allocator desirable
  • Excellent time management skills, including the ability to prioritise and meet multiple deadlines
  • Have outstanding and clear communication skills - be able to think strategically and analytically to understand complex or ambiguous issues and articulate strategic solutions, and recommendations
  • Possess solid capability in Microsoft suite, in particular – Excel & Word
  • Have a passion for data analysis and attention to detail
  • Ability to learn and adapt to new systems or processes quickly
