Our corporate trust business is a leading provider of fiduciary and digital solutions to the banking and financial services industry in Australia and Singapore. It administers securitisation portfolios, investment and debt structures to protect the interests of our clients’ investors. Corporate trust supports clients locally and overseas with a unique offering through five key service offerings: Debt Market Services; Managed Fund Services; Perpetual Asia, headquartered in Singapore; Perpetual Digital, which provides data services and software-as-a-service products; and Laminar Capital, which provides fixed income dealing, treasury and advisory services to government organisations, superannuation funds, local councils, ADIs, not-for-profits, wealth managers and sophisticated investors.

As the Senior Mortgage Operations Administrator within Document Custody, you will be responsible for supporting management with document verification, data entry and client reporting in NSW.

About the role

As a Senior Mortgage Operations Administrator at Perpetual Corporate Trust, you will:

  • Accurately verify and data enter incoming security documents in line with client verification checklists

  • Ensure Content Manager and DMS Web are updated with accurate information including but not limited to document and packet locations, system notes and correct actions

  • Review and distribute client reporting on time

  • Provide ongoing support and training to team members

  • Ensure accuracy of document tracking tools.

Other Responsibilities

  • Build effective relationships with clients and their service partners

  • Ensure all client enquiries are attended to maintaining good written and verbal skills

  • Ensure all training material is maintained and updated regularly when required

  • Maintenance of Document Custody’s policies and procedures

  • Ensure Client Connect obligations are completed on time

  • Respond to Investigations team enquiries including managing any follow up with clients attending to legal notices or otherwise on Perpetual’s behalf

  • Respond to Client Advocacy team enquiries including managing any follow up with clients attending to complaints or otherwise on Perpetual’s behalf

  • Assist with identifying operational trends, issues, and areas for improvement

  • In the absence of Manager, manage day to day operations in NSW liaising with National Manager Mortgage Operations when required

  • Analyse & investigate fee calculation issues and discrepancies

  • Ensuring all operational risk controls are maintained in line with policies and procedures. Communicate effectively on issues / problems to Senior Management and ensure proper and timely follow-up to ensure resolution

  • Appropriate handling of confidential and sensitive information.

About you

  • Previous client service experience and strong knowledge of mortgage operational tasks and experience with working with mortgage documents (essential to be considered for this role)

  • Good understanding of mortgage operations processes and service level targets and agreements

  • Demonstrated customer service and relationship management skills

  • Strong attention to detail and ability to multitask and manage time effectively

  • Knowledge and awareness of Privacy Act obligations.
