This role sits at the centre of the Executive Chair’s office playing a critical role in enabling effective Board, governance and executive activity across the organisation.

What does your day to day look like?
As Executive Assistant to the Executive Chair, you’ll work as a trusted partner, providing high‑level executive, administrative and stakeholder support to enable the Chair to operate at their most effective. You’ll manage complex schedules, coordinate board and committee activities, and act as a key liaison between the Chair, Board members, executive leadership and external stakeholders. This role is built on discretion, sound judgment and proactive support, with exposure to board governance, strategic priorities and confidential executive matters.
Your responsibilities will include:
Providing high‑level executive support to the Executive Chair, including proactive diary and inbox management.
Acting as a key liaison with Board members, senior leaders and external stakeholders to coordinate meetings, briefings and engagements.
Coordinating Board and Committee activity, including preparation, quality control and distribution of papers in line with governance timelines.
Managing complex domestic and international travel arrangements and related logistics.
Planning and delivering internal meetings and events end‑to‑end, including agendas, papers, catering and logistics.
Attending meetings as required, preparing accurate minutes, tracking actions and supporting follow‑up.
Exercising absolute discretion in handling sensitive and confidential information at all times.
Reviewing, formatting and preparing executive‑level reports, presentations and briefing materials to a high standard.
Collaborating with the broader EA network while supporting workplace safety, business continuity and corporate office initiatives.
What you’ll need:
A positive, proactive approach to problem‑solving, with the ability to anticipate the Executive Chair’s needs and respond accordingly.
Extensive experience providing high‑level executive assistance to a Chair or Board within an ASX‑listed environment
Exceptional interpersonal and communication skills, with the professionalism and composure to operate effectively under pressure.
A strong commitment to confidentiality, exercising sound judgment and always acting in the best interests of the Executive and the organisation.
High attention to detail, with the ability to manage multiple priorities and concurrent projects effectively.
Advanced proficiency in Microsoft Office, particularly Microsoft Word and Outlook.
Intermediate skills in Microsoft PowerPoint and Excel, with the ability to prepare high‑quality executive materials.
Working knowledge of SAP or similar finance systems, particularly for expense and account processing.
