**Key Relationships**

The Office Manager reports to the Deputy Principal/Head of Senior

School and works closely with other office staff and teachers.

The Office Manager is ultimately accountable to the Principal, via the
Director of Business Operations.

**_Position Objective:_**_ _

Westminster School's performance and reputation are enhanced because of the highly effective and
responsive administrative support provided by the Senior School Office and because of the contribution
to the School's desired culture and to School improvement initiatives made by the incumbent.

**_Position Overview: _**

The Office Manager is responsible for the delivery and oversight of high quality, efficient and confidential

professional administrative support services to the Senior School, leading and coordinating the Senior

School office staff, systems and events. The position promotes the development and maintenance of a

service culture within the Senior School office and may provide administrative support to other senior

leadership staff to enable the efficient operation of the Senior School.

**_Key Responsibilities _**
- Lead the day-to-day general operations of the Senior School administration team by:

- Providing oversight, support and guidance to the team
- Coordinating the Senior School Office workload
- Developing and promoting a service culture to provide exceptional customer service to

students, parents and staff
- Building teamwork within the Senior School Office and foster a team culture across the

School's wider administrative support staff.
- Provide a high level of secretarial and administrative support to the Deputy Principal/Head of Senior

School, including calendar management, organising meetings etc.
- Provide leadership, mentoring, and professional development guidance to the School's administrative

staff, optimising the collaborative efforts of the wider team to achieve continuous improvement in the

way administrative support is delivered.
- In conjunction with the Preparatory School Office Coordinator and other senior administrative staff,

take the lead to identify and implement cross-School practices that increase the effectiveness,

efficiency and consistency of administrative procedures.
- Foster collaboration with the wider administrative team by instigating and leading meetings with the

administrative staff twice each term.
- Coordinate the delivery of all activities associated with the Senior School Student onboarding experience.
- Ensure efficient and effective administrative support for Senior School operations by (for example):

- Coordinating relevant Senior School activities, major events, meetings, programs,

assemblies, parent teacher interviews, information nights etc.
- Supporting the School Logistics and Daily Operations Manager with publication of the School

calendar, management of events throughout the year, and delivery of other Senior School

activities such as photos, immunisation program and relief staff
- Providing administrative assistance to key Senior School pastoral care leaders, relevant

Committees and other senior staff
- Maintaining the integrity of Senior School student records and ensuring data is accurately

recorded and up-to-date within the School's systems.
- Preparing and updating relevant Senior School documentation, information booklets,

communications and assist with dissemination
- Liaising with ICT to ensure Senior School information is up to date and accessible
- Assisting with general office activities, such as mail-outs, reception and answering queries.
- Assisting with budgetary control by collating expense information, raising purchase orders,

processing payments
- Other duties that may be required from time to time, including providing basic first aid to students if

required.

**_Key Selection Criteria: Qualifications, Skills and Experience_**
- Substantial experience in a similar role, leading a team
- Excellent administrative, organisational and time management skills
- Advanced skills in using information technology including: Microsoft Office suite of programs (Word, Excel
- Well-developed written communication skills with the ability to write in a clear, accurate and easily

understood style
- Ability to model efficient and effective practices of information
