**Job Description Summary**: An exciting and rare opportunity for an experienced and highly skilled Executive Assistant to provide administrative support to the VP/GM ANZ at BD.

**Purpose**: The Executive & Lead Administration Assistants primary focus will be to provide organizational and executive administrative support to the VP/GM. This person will also support the wider ANZ Leadership Team.

This person will work autonomously to meet deadlines, effectively engage with stakeholders at all levels and manage priorities, while exhibiting a high level of professionalism, confidentiality and discretion.

**Key Responsibilities**
- Independently and proactively coordinates agenda's, meetings, logistics for meetings, in house as well as offsite
- Responsible for calendar management for the VP/GM
- Creates/updates files and data using MS Office and other relevant systems
- Schedules business travel and accommodation, and completes expenses for VP/GM as well as members of the leadership team as requested
- Acts as a point person for other administrators to ensure coverage of all administration tasks across ANZ businesses and functions.
- Organizes, coordinates and attends meetings and takes minutes as requested
- Creates high quality PowerPoint presentations, Excel spreadsheets and maintains organizational charts and distribution lists
- Involved in ad-hoc projects across the organization
- Organises events including the annual company conference
- Coordinates Town Halls and other associate events, including collaborating with vendors, site selection, managing interfaces and budget
- Will serve as backup to Reception attendance
- Support and coordinate the approval of BD website material between Marketing and Regulatory Affairs

**Skills, Education & Experience**
- 3-5 years' experience working as an Executive Assistant
- Experience supporting multiple leaders in a multi-functional, multi-national, matrixed, fast-paced environment
- Experience in event management (Essential)
- Diploma and/or Bachelor's degree preferred
- High attention to detail and accuracy
- Strong communication and interpersonal skills at all levels
- Demonstrated ability to communicate and exchange information clearly and concisely
- Event planning skills and experience
- Sense of urgency, able to effectively prioritize, coordinate and plan in a high volume fast-paced environment
- Ability to use independent judgment to determine what requires priority attention, escalation, and directing to the appropriate team member for response or resolution
- Work independently under time constraints, manage competing, complex priorities and deadlines, and handle a multitude of tasks efficiently
- Integrity and discretion in dealing with confidential matters. Ability to protect sensitive and confidential information is crucial. Position handles highly confidential information on a regular basis

**Other requirements**
- May be required to travel a couple of times a year
- Hybrid work arrangements includes 3 days a week in the office
