Job Description: Office Administrator and Receptionist

Position Overview:
**Responsibilities**:
1. Reception Duties:

- Greet and welcome clients and visitors in a professional and friendly manner.
- Answer and direct phone calls, take messages, and handle inquiries.
- Manage the appointment calendar and schedule client consultations.
- Maintain a clean and organized reception area.

2. Customer Service:

- Provide exceptional customer service to clients, ensuring their needs are met.
- Assist clients with fabric selections, providing guidance and recommendations.
- Address client inquiries and concerns promptly and professionally.
- Maintain positive and productive relationships with clients.

3. Administrative Duties:

- Perform general office administrative tasks such as filing, photocopying, and organizing documents.
- Manage incoming and outgoing mail, including sorting and distributing as necessary.
- Maintain accurate and up-to-date records of client information and orders.
- Assist in maintaining inventory and ordering office supplies.

4. Communication and Coordination:

- Communicate and coordinate with suppliers regarding fabric orders and deliveries.
- Collaborate with the upholstery team to ensure seamless project coordination.
- Assist with coordinating pickup and delivery of completed upholstery projects.

5. Computer Skills:

- Input and update data in the company's software systems, such as zero or similar.

Qualifications:

- Previous experience in a receptionist or administrative role.
- Basic computer skills, including proficiency in Microsoft Office Suite.
- Excellent customer service and interpersonal skills.
- Strong organizational and time management abilities.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented with a high degree of accuracy.
- Excellent verbal and written communication skills.
- Familiarity with zero or similar software is an advantage.
