**What this opportunity involves**:
As the Administrator within the Emergency Management Team, you'll support the broader Facilities and Operations team in the oversight of training, data updates as well as regulating important admin tools. Working closely with the Emergency Management Manager and Vendor Manager, you'll play a critical role in ensuring the safety and compliance of our onsite teams.
**An Overview of the role**:
Work closely with the Emergency Management Manager and Vendor Manager
Make general inquiries of the vendor on behalf of the Emergency Management Team and Client
Assist with conducting and recording minutes of the Monthly Vendor Management Meeting and fortnightly Client meetings
Review and upload Vendor Monthly Performance Reports to the Client Portal
Assist the Emergency Management Manager with planning upcoming schedule or training changes, milk-runs, and site documentation upgrades
Assist the Emergency Management Manager with ad-hoc discussions and reporting as requested by the Client
Respond to site-based general inquiries on Training operations and diagrams
Create initial reactive requests and work orders to address issues raised by the Vendor and Client
Verify the contents of documents uploaded to the Corrigo portal
Create financial proposals and verify invoice data
Create regular schedules for training programs
Update schedule information in Corrigo
**Sounds like you? This is what we are looking for**:
You will possess administration and communication skills and have a strong customer service focus. Proactive with a keen eye for detail and the ability to balance multiple priorities.
Ability to deal with a variety of issues concurrently, within tight operational deadlines
Knowledge or exposure to building/facilities management would be advantageous although not essential
Efficient keyboard and data entry skills
Proficiency with Microsoft Word, PowerPoint, Excel, Outlook and Internet research skills
Ability to work with mínimal supervision and grasp new concepts
Excellent client service and communication skills
An Australian Citizen
